Schedule: Monday–Friday, 7:30 AM–4:00 PM

About the Opportunity:

Legendary Home Services is looking for a highly organized, detail-driven Installation Project Coordinator to help manage residential projects across our HVAC, plumbing, electrical, and sewer & water divisions.

This position plays an important role in taking a project from the point of sale through successful installation and completion. You’ll work closely with Sales, Operations, field teams, Accounting, and customers to ensure projects are accurate, properly documented, scheduled, permitted, and ready to move forward.

This is not simply a scheduling or administrative position. We’re looking for someone who takes ownership, notices when something is missing, asks questions when something doesn’t look right, and follows through until the project is complete.

What You'll Do:

  • Review sold projects to ensure required information is complete after work is scheduled or installed
  • Create and maintain project and job information in ServiceTitan
  • Verify scope of work, equipment, materials, measurements, photos, forms, and other required project documentation
  • Review submitted information for accuracy and identify missing or conflicting details
  • Work with Sales, Operations, and field teams to resolve project questions
  • Coordinate installation schedules and field team assignments
  • Coordinate subcontractors and outside resources when needed
  • Verify equipment and material requirements prior to installation
  • Coordinate equipment and material ordering as required
  • Create, maintain, and verify purchase orders and project documentation
  • Coordinate permit applications, payments, and required documentation
  • Schedule and track inspections through completion
  • Maintain required license, permit, and code-related documentation
  • Communicate inspection corrections and outstanding requirements to the appropriate teams
  • Verify installation photos, equipment serial numbers, forms, and other closeout documentation are complete
  • Review completed projects for billing readiness
  • Verify invoices, purchase orders, pricing, and supporting documentation after project closeout
  • Coordinate or complete post-installation customer follow-up and happy calls
  • Track outstanding project items and follow through until they are resolved
  • Communicate proactively with customers and internal departments regarding project status or changes
  • Assist with reporting and project tracking
  • Help identify recurring issues and opportunities to improve project processes across divisions

    • Are comfortable learning technical terminology, equipment, and installation requirements
    • Enjoy creating organization and improving processes
    • Are comfortable working in multiple systems and learning new technology
    • Work well independently while collaborating across multiple departments

    Preferred Experience:

    • Project coordination, installation coordination, construction, home services, scheduling, permitting, dispatch, or similar experience
    • HVAC, plumbing, electrical, sewer & water, or residential construction experience is a plus
    • ServiceTitan experience is a plus
    • Experience with Microsoft Office, including Outlook and Excel
    • Experience coordinating permits or inspections is helpful

    Industry experience is valuable, but we’re also interested in candidates with strong organizational skills, ownership, and the ability to learn.
