Company Business Hours: 8:30 a.m. – 5:00 p.m.
Schedule: Monday–Friday; some Saturdays required
Travel: Travel may be assigned based on business needs

Position Summary

Completes annual and interim recertifications and supports accurate resident files for public and affordable housing programs, with emphasis on timely documentation, verification, calculations, resident communication, and compliance.

Primary Responsibilities

  • Schedule and process annual, interim, and other required recertifications, including resident notices, interviews, document collection, verifications, calculations, forms, signatures, and system updates.

  • Review household composition, income, assets, deductions, student status, and other eligibility factors; identify missing or inconsistent information and obtain required supporting documentation.

  • Maintain accurate, organized, and confidential resident files and recertification tracking logs, meet required deadlines, and prepare files for Compliance review and external audits.

  • Communicate professionally with residents regarding appointments, required documentation, deadlines, rent changes, and process status while escalating reasonable-accommodation, grievance, fraud, or complex eligibility issues appropriately.

  • Correct file or data deficiencies identified through quality-control review, reconcile system and document discrepancies, and support property staff with compliance documentation as assigned.

  • Monitor upcoming recertification deadlines and outstanding resident documentation to help maintain timely completion and audit readiness.

Additional Duties: Performs other duties, special projects, coverage assignments, and responsibilities as needed or assigned to support property, resident, client, and organizational needs.

Required Qualifications

  • High school diploma or equivalent.

  • Two or more years of experience in affordable-housing recertification, occupancy, leasing, compliance, property management, or a related field.

  • Must hold an affordable-housing rent certification credential or be willing and able to obtain the required certification within two weeks of employment.

  • Working knowledge of resident eligibility, income and asset verification, recertification documentation, resident files, and confidentiality requirements.

  • Strong computer proficiency in Microsoft 365, Yardi or comparable property-management/compliance systems, EIV or applicable verification tools, electronic file systems, and data-entry platforms.

  • Strong customer-service, communication, confidentiality, organization, documentation accuracy, and attention-to-detail skills.

  • Ability to work on-site and travel between assigned locations as required.

Preferred Qualifications

  • Associate degree or additional education in housing, compliance, business, public administration, social services, or a related field.

  • Experience with HUD, public housing, Chicago Housing Authority (CHA), HCV/Section 8, LIHTC, PBV, or other regulated affordable-housing programs.

  • COS, TCS, HCCP, or comparable occupancy or affordable-housing compliance certification.

  • Experience processing annual and interim recertifications from initial notice through final completion.

  • Experience conducting income and asset verification, resolving EIV discrepancies, preparing resident files for audits, and correcting quality-control findings.

  • Experience using Yardi or comparable affordable-housing compliance and property-management systems.

Work Environment & Expectations

This position primarily operates on-site within a public or affordable housing environment and may require work in property offices, resident-service areas, corporate offices, and other assigned locations.

Normal business hours are generally 8:30 a.m. to 5:00 p.m., Monday through Friday. Some Saturdays, extended hours, or local travel may be required based on recertification deadlines, resident appointments, audits, inspections, or operational needs.

The employee must be able to perform the essential functions of the position, with or without reasonable accommodation. Regular attendance, timely completion of recertifications, accurate documentation, confidentiality, professional conduct, and compliance with Company policies and applicable housing requirements are essential.
