SCOPE OF RESPONSIBILITY: Under the direction of the Program of Distinction Coordinator, performs a variety of administrative and staff support duties for the School of Aquaculture, which requires a range of skills and knowledge of organizational policies and procedures. Assists and directs visitors, and resolves administrative inquiries; composes, edits, and proofreads correspondence and reports, and prepares a range of administrative documents some of which are of a confidential or sensitive nature.&nbsp;&nbsp;
ESSENTIAL JOB FUNCTIONS:&nbsp;&nbsp;
Serves as the front desk receptionist for the Aquaculture Research Center. Provides administrative/secretarial support for the department/division such as answering telephones, assisting visitors, and resolving and/or referring a range of administrative problems and inquiries.&nbsp;
Operates personal computer to compose and edit correspondence and/or memoranda from dictation, verbal direction, or from knowledge of established department/division policies; may prepare, transcribe, compose, type, edit, and distribute agendas and/or minutes of meetings.&nbsp;
Maintains a calendar of scheduled tours, visits, and/or other similar activities for the Aquaculture Research Center; to include coordinating with other staff to ensure tours, visitor and records are complete and updated. Maintains a sign in log.&nbsp;&nbsp;
Maintains, organizes, and schedules use of conference room.&nbsp;&nbsp;
Assists POD Coordinator in entering requisitions and submitting travel requests and vouchers for faculty, staff, and graduate students.&nbsp;&nbsp;
Establishes, maintains, and updates files, databases, records, and/or other documents; develops and maintains data and performs routine analyses and calculations in the processing of data for recurring internal reports.&nbsp;
Sorts, screens, reviews, and distributes incoming and outgoing mail; composes, prepares, or ensures timely responses to a variety of written inquiries. Maintains standing orders for UPS&nbsp;
Maintains and tracks balance of standing order with Staples. Monitors supplies, assesses needs, and submits orders to POD coordinator for placing.&nbsp;&nbsp;
Performs miscellaneous job-related duties as assigned.&nbsp;
QUALIFICATIONS: High school diploma or GED with 1 to 3 years experience directly related to the duties and responsibilities specified.&nbsp;&nbsp;

Job Description Receptionist Location: 100% onsite - Downtown Portland, OR (parking is paid for by the company) Schedule: Monday-Friday, 8:00 a.m.-5:00 p.m. Compensation: $20 - $21 per hour Duration: Contract to hire Why this role You'll be the welcoming face of the office and a trusted hub for employees, tenants, and vendors. The last two Receptionists were promoted into other roles-this is a great launchpad with clear room for growth. You'll sit in close proximity to the President and be exposed to a wide range of conversations and business priorities, so professionalism and discretion are essential. What you'll do
<ul>
<li>Front desk excellence: Greet visitors, manage phones, direct inquiries, and keep the lobby organized, warm, and professional.</li>
<li>Customer service &amp; tenant support: Deliver best?in?class service; de?escalate tenant issues as needed and route to the appropriate team quickly and accurately.</li>
<li>Office operations (rotation): Serve as the Office Lead every third week-coordinate day?to?day needs, track facilities requests, monitor supplies, and keep common areas running smoothly.</li>
<li>Vendor communications: Prepare and send vendor mailings (e.g., stuffing, labeling, postage, tracking) and assist with other vendor touchpoints.</li>
<li>Wellness program champion: Play a big role in planning, promoting, and coordinating wellness initiatives, events, and communications to boost participation and engagement.</li>
<li>Meetings &amp; logistics: Help with conference room bookings, visitor badges, catering coordination, supply runs, and occasional set?up/tear?down.</li>
<li>General admin: Sort/distribute mail and deliveries; support basic data entry and document updates; jump in on special projects as needed.</li>

Qualifications:
<ul>
<li>Polished, professional presence and a genuinely friendly, service?oriented approach.</li>
<li>Strong soft skills: Quick thinking, sound judgment, empathy, and calm, confident communication.</li>
<li>De?escalation mindset: Ability to defuse tense situations and hand off to the right partner at the right time.</li>
<li>Confidentiality: High discretion given proximity to executive conversations.</li>
<li>Tech comfort: Basic proficiency with Microsoft 365 (Outlook, Word, Teams) and ability to learn internal tools quickly.</li>
<li>Nice to have (not required): Experience in reception/front desk, property/tenant interactions, event or wellness coordination.</li>
