Job Overview: The Administrative/ Accounting Coordinator will assist in facilitating the daily workflow in the office.
Qualifications:
<ul>
<li>Previous experience as a billing clerk or similar role.</li>
<li>Bookkeeping experience.</li>
<li>Familiarity with office equipment, such as copy machines, fax machines and multi-line phone systems.</li>
<li>Comfort with using business email system, such as Microsoft Outlook.</li>
<li>Strong communication skills.</li>
<li>Strong math and excel skills.</li>
<li>Strong attention to detail in composing, typing, and proofing materials, establishing priorities and meeting deadlines.</li>
<li>Ability to handle sensitive and confidential information and situations.</li>
<li>Excellent organizational and analytical skills.</li>
<li>Strong sense of customer service both internal and external.</li>
<li>Comfortable with routinely changing demands.</li>

Responsibilities:
<ul>
<li>Perform clerical duties, such as filing, faxing, answering phone calls, and responding to emails.</li>
<li>Assist in handling payroll and personnel databases.</li>
<li>Assist in sales order invoicing, posting, and processing accounts receivables and accounts payable.</li>
<li>Verify state tax is correctly charged.</li>
<li>Set up vendors and customers in accounting system ensuring information is complete.</li>
<li>Track Project Manager and Supervisor receipts.</li>
<li>Maintain accurate and complete records, including general ledgers, journals, invoices, receipts, and information related to supplies and inventory.</li>
<li>Assist in daily, monthly, and annual activities and general ledger maintenance.</li>
<li>Communicate to customers and vendors to discuss account status, changes, or discrepancies.</li>
<li>Monitor customer payments and prepare billing reports.</li>
<li>File and manage various company records appropriately.</li>
<li>Assure compliance with company and other applicable policies as needed.</li>
<li>Provide excellent customer service and maintain vendor/customer relationships.</li>
<li>Perform other related tasks deemed necessary by manager.</li>

BOOKKEEPER-ACCOUTING CLERK
We are seeking an Accounting Clerk, whose duties will be matching invoices to purchase orders/ vouchers, data entry, and assisting with Accounts Payable (A/P) and Accounts Receivable (A/R). Major responsibilities - Assist Accounts Payable: A/P invoice matching &amp; filing, vendor invoices and disbursement filing - General accounting: help with G/L account reconciliation and month-end closing, Work with Accounts Receivable: process daily invoices/credit, apply cash receipt, and - Code documents that require knowledge in determining proper classification of accounting codes and expenditure codes - Rectify discrepancies by checking all possible sources of disagreement, reconstructing probable actions, and recognizing the effect on other accounts; prepare correction documents as required
Requirements

<li>Preferably accounting experience in Quickbooks software</li>
<li>Detail-oriented</li>
<li>Accurate</li>
<li>Strong analytical skills</li>
<li>Research/Forensic abilities</li>
<li>Strong Reconciliation experience and/or billing/collections experience a must</li>
<li>Working with invoices and spreadsheets.</li>
<li>Compute and record numerical data</li>
<li>Check the accuracy of business transactions</li>
<li>Perform data entry and administrative duties</li>
<li>Completes payment set up and controls expenses by receiving, processing, verifying, and reconciling invoices.</li>
<li>Reconcile vendor statement monthly</li>
<li>Maintains accounting ledgers by verifying and posting account transactions.</li>
<li>Assisting with audit support as necessary.</li>
<li>Assisting in streamlining the accounts payable process.</li>
<li>Working with account receivable clerk and others to resolve account issues when necessary.</li>
<li>Bill clients for overages and keep updated on a tracking excel worksheet</li>
</ul>
Qualifications
<ul>
<li>Previous experience in accounting, finance, or other related fields</li>
<li>Ability to prioritize and multitask</li>
<li>Strong organizational skills</li>
<li>Deadline and detail-oriented</li>
<li>Advanced abilities with Excel.</li>
<li>Comfortable using a computer for various tasks beyond general accounting.</li>
<li>Be well versed with the organizational and industrial accounting standards</li>
<li>Be skilled in the accounting applications and reconciliation of accounts</li>
<li>Be excellent in communication and coordination. Also in maintaining excellent working relationships with the staff, vendors, clients and other public</li>
<li>Be skilled in using the most advanced accounts payable automation applications</li>
