SVN Toomey Property Advisors is seeking an organized, accountable Maintenance Project Manager to oversee repairs, unit turns, and property improvement projects across our managed portfolio.
This person will coordinate maintenance technicians and outside vendors, manage schedules and approved budgets, and ensure work is completed correctly and on time. We need someone who can keep multiple jobs moving, communicate clearly, and hold people accountable without requiring constant direction.
This is a management and field-oversight role—not primarily a hands-on maintenance technician position.
What You’ll Do
Manage Maintenance and Projects
- Oversee work from the initial request through verified completion.
- Review incoming maintenance requests, establish priorities, and assign technicians or vendors.
- Develop clear scopes of work, obtain estimates, and establish realistic schedules.
- Track active jobs and resolve issues before they become delays.
- Coordinate emergency repairs according to company procedures.
Oversee Unit Turns
- Inspect vacant properties and identify the work needed to make them rent-ready.
- Prepare scopes, estimates, and completion schedules.
- Coordinate technicians, vendors, materials, and property access.
- Perform final inspections and verify that work meets company standards.
Lead Technicians and Vendors
- Set daily priorities and clear expectations for quality, productivity, and communication.
- Monitor performance and address missed deadlines or incomplete work.
- Coach maintenance employees and identify training needs.
- Obtain and compare vendor bids.
- Maintain dependable vendor relationships and hold contractors accountable for their work.
Control Costs and Quality
- Track project spending against approved budgets.
- Obtain required approvals before authorizing additional work or changes in scope.
- Review invoices against approved work and verified completion.
- Identify recurring maintenance problems and opportunities to reduce repeat repairs.
- Require appropriate notes, photos, and completion documentation.
Communicate and Maintain Records
- Keep property managers informed of job status, delays, and anticipated completion dates.
- Coordinate scheduling and access with residents and team members.
- Keep work orders and project records accurate and current.
- Provide weekly updates on open work, unit turns, project costs, and issues requiring management decisions.
What We’re Looking For
- At least three years of relevant experience in property maintenance, construction, renovation, or a related field.
- Experience coordinating multiple jobs, technicians, or contractors.
- Ability to prepare scopes of work, evaluate estimates, and track project costs.
- Practical knowledge of common residential repairs and the judgment to recognize when a qualified specialist is needed.
- Strong organization, follow-through, and problem-solving skills.
- Ability to hold employees and vendors accountable professionally.
- Clear written and verbal communication.
- Comfort using work-order software, project-management tools, and spreadsheets.
- Ability to travel regularly between properties in the service area.
- Willingness to participate in a defined emergency or on-call rotation.
Preferred Qualifications
- Residential or multifamily property-management experience.
- Experience managing unit turns and occupied-property repairs.
- Direct supervision of maintenance employees.
- Experience with Buildium, Monday.com, or similar systems.
- Experience managing renovation budgets and coordinating multiple trades.
What Success Looks Like
- Maintenance requests have clear ownership, priorities, and next steps.
- Unit turns and projects meet approved completion dates.
- Spending stays within approved budgets, with changes authorized in advance.
- Completed work meets quality standards and requires fewer callbacks.
- Technicians and vendors understand expectations and follow through.
- Property managers receive timely updates without having to chase information.
- Work orders include accurate notes, photos, and completion details.
