EVV/Front Desk Clerk

Personal Care Services MidSouth, Gulfport, MS

Job Summary:

We are seeking a highly organized, detail-oriented, and customer-focused EVV/Front Desk Clerk to join our team at Personal Care Services MidSouth. As a critical dual-role position, you will manage our electronic visit verification (EVV) system, ensuring accurate tracking, authorization management, and scheduling alignment for non-medical home and community care services. Concurrently, you will serve as the initial face and voice of our organization, managing front desk coordination, visitor interactions, and vital administrative reception duties.

Key Responsibilities:

EVV Monitoring & Caresmartz360 Management

  • Real-time monitoring of daily EVV clock-ins and clock-outs within Caresmartz360 for caregivers delivering Activities of Daily Living (ADLs), personal care, light housekeeping, doctor visit transportation, and running errands

  • Missing clock-in/out mandated protocol: respond immediately, execute the two-step verification sequence, and document exceptions in Caresmartz360

  • System logging & audit trails: log all missed clock-in/out exceptions, constructing clear documentation trails explaining why manual adjustments were required

  • Authorization & utilization controls: perform daily reconciliation, ensuring billable care hours align with payable payroll hours, and strictly monitor individual allocations to prevent overscheduling

Front Desk & Reception Operations

  • First impressions: greet visitors, field staff, family members, and prospective job applicants with an exceptionally professional, warm, and structured demeanor

  • Communications management: operate a multi-line primary phone console, screen and route incoming calls efficiently, record detailed messages, and address standard public baseline inquiries regarding agency capabilities

  • Mail & processing: receive, open, date-stamp, and distribute daily mail and corporate faxes; package and organize outbound client notices or medical mailings

  • Lobby presentation: ensure the front waiting room and greeting counter remain organized, stocked with informational material, and clean

Office Administration & HIPAA Controls

  • Intake data support: assist with inputting baseline inquiry information and loading initial service authorizations into Caresmartz360 profiles

  • Document safeguards: scan, categorize, and archive caregiver employment or client medical files securely into electronic document management sub-folders

  • Strict HIPAA compliance: protect confidential Protected Health Information (PHI) by positioning reception monitors to exclude public line-of-sight, locking physical medical records immediately, and restricting sensitive conversations to closed environments

  • Inventory supervision: track office materials and personal protective equipment (PPE) inventory levels, assembling care packets for field caregivers

Audit & Compliance Standards

  • Zero-backlog tracking: enforce a highly structured rhythm for missing signature resolution, ensuring zero manual adjustments sit in an unverified state past established clearing cycle window

  • Clawback prevention: achieve absolute alignment between authorized care limits, Caresmartz360 visit logging, billable billing lines, and payable field hours to perfectly eliminate any risk of state or federal financial clawbacks

Qualifications & Skills:

  • Education: High school diploma or equivalent required

  • Experience: Minimum of 1 year within home care, community care, or healthcare administrative office operations strongly preferred

  • Software proficiency: Hands-on familiarity using Caresmartz360 (including EVV dashboards, caregiver scheduling matrixes, or system portals) is heavily prioritized

  • HIPAA & regulatory fluency: demonstrated comprehension of healthcare privacy controls, HIPAA regulations, and managing protected patient identifiers

  • Operational competence: Exemplary conversational empathy combined with sharp analytical attention to detail required to handle multiple incoming desk demands while running precise, high-stakes verification records

Additional Requirements:

  • Computer skills required; excel, words

  • Must have flexibility in work schedule

  • Must have the ability to write and document appropriately

  • Must have great phone and communication skills

  • Must have the ability to utilize basic computer software integral to agency operations after initial training period

  • Multi-tasking capability is a must

  • Must be able to carry a big responsibility
