About the Role

\n

The Field Inspection and Maintenance Coordinator owns the physical, on-the-ground side of property care — conducting inspections, coordinating vendors, and keeping maintenance work orders moving from request to close-out. This role works closely with the Property Manager and Leasing Coordinator to keep homes turn-ready, tenants supported, and owners confident their properties are being looked after. This role also requires clear, professional, owner-facing communication — you'll regularly explain inspection findings, repair needs, and vendor updates directly to property owners, not just to internal team members.

Note: this is a coordination and inspection role, not a hands-on repair position. Field time is spent walking properties, documenting condition, and managing vendors — not performing repairs yourself.

Key Responsibilities

\n

Field Operations & Inspections

\n

    \n
  • Conduct move-in, move-out, and maintenance inspections in person
  • \n

  • Conduct annual inspections tied to each property's lease renewal cycle, scheduled in coordination with the Property Manager
  • \n

  • Upload inspection reports and photo/video documentation to shared drive
  • \n

  • Create maintenance work orders as needed based on inspection findings
  • \n

Routine Maintenance Oversight

\n

  • Monitor incoming work orders and triage accurately by urgency and type
  • \n

  • Ensure vendors respond, schedule, and close out work orders on time
  • \n

  • Give urgent and emergency work orders extra attention, looping in the Property Manager on special cases
  • \n

Vendor Compliance

\n

    \n
  • Collect Certificates of Insurance (COI) from all vendors before dispatching work
  • \n

  • Track COI expiration dates to catch lapses before they become a liability issue
  • \n

\n

Owner Communication

\n

    \n
  • Communicate inspection findings and maintenance recommendations directly to property owners, clearly and professionally
  • \n

  • Provide timely updates on repair costs, timelines, and vendor progress on owner-facing issues
  • \n

  • Respond promptly to owner questions or concerns related to property condition and maintenance
  • \n

\n

On-Call Rotation

\n

    \n
  • Join the emergency maintenance on-call rotation, shared with the Property Manager and Leasing Coordinator
  • \n

  • $200 stipend paid for each month serving as the on-call point of contact
  • \n

\n

Bonus Structure

\n

In addition to base pay, this role includes performance-based monthly bonuses:

  • Maintenance Standard Bonus — awarded monthly for meeting maintenance turnaround-time standards
  • \n

  • Annual Inspections Timeline Compliance Bonus — awarded monthly for completing annual inspections on schedule, tied to each property's lease renewal cycle
  • \n

  • A turnover-based incentive is also part of this role's structure — final terms to be confirmed
  • \n

What You'll Use

\n

AppFolio (property management), Property Meld (maintenance vendor coordination), LeadSimple (workflow management), Google Suite, and Quo (formerly OpenPhone) VOIP system.

What We're Looking For

\n

    \n
  • Experience in property inspections, maintenance coordination, or a related field (hands-on trade experience is a plus for spotting issues, but not required — this role coordinates repairs rather than performing them)
  • \n

  • Comfortable conducting in-person inspections at properties in Lincoln, CA and surrounding areas
  • \n

  • Strong organizational skills — able to track multiple work orders and vendor timelines at once
  • \n

  • Strong written and verbal communication skills — comfortable communicating directly and professionally with property owners, not just tenants and vendors; this role requires high-level owner-facing communication
  • \n

  • Comfortable communicating with tenants and vendors day-to-day
  • \n

  • Skilled at both proactive and reactive communication — flagging issues before they're asked about, not just responding when prompted
  • \n

  • Strong troubleshooting ability — able to assess a situation on-site and figure out next steps without step-by-step direction
  • \n

  • Self-motivated and comfortable working independently; this role requires ongoing self-motivation with minimal day-to-day supervision
  • \n

  • Adaptable — able to shift priorities or approach when the day requires it, without needing to be told
  • \n

  • Comfortable having direct, sometimes difficult conversations (vendor accountability, tenant concerns) while leading with empathy
  • \n

  • Valid driver's license and a dependable vehicle required
  • \n

  • Comfortable using property management software (AppFolio and/or Property Meld experience a plus, not required)
  • \n

  • Willing to participate in a shared emergency on-call rotation
  • \n
