Mindcolor Autism, named one of Glassdoor’s Top 50 Places to Work in 2025, is seeking an Operations Associate to help keep our ABA centers running smoothly and create a welcoming experience for learners, caregivers, and team members. You’ll be a key member of the center team, partnering closely with the Center Director to manage scheduling, coordinate daily operations, support team communication, and help build a positive center culture. This role is ideal for organized, detail-oriented professionals who enjoy being at the center of the action, solving problems, supporting others, and creating the structure that allows clinical teams to do their best work.


Communication & Team Culture

  • Serve as a welcoming and professional first point of contact for clients, caregivers, team members, providers, and vendors
  • Respond promptly to center calls, messages, and team communications
  • Communicate schedule changes and other important updates clearly and professionally
  • Help foster a positive, collaborative, and professional center environment
  • Support team engagement activities and initiatives that strengthen center culture

Center Operations & Administration

  • Coordinate daily opening and closing tasks and support administrative priorities
  • Manage center supplies, inventory, and support the CD with monthly budget monitoring
  • Assist with basic technology troubleshooting and coordinate with IT as needed
  • Monitor RBT session note completion and follow up as directed
  • Audit team member timesheets in Paylocity
  • Support new hire onboarding and communication before and throughout the training process
  • Meet with the CD weekly to review center needs, priorities, and outstanding tasks

Scheduling & Resource Coordination

  • Create and maintain schedules for clients and team members
  • Adjust schedules to support learner needs, team member availability, PTO, competencies, and session coverage
  • Balance team member scheduling needs with learner and caregiver preferences and availability
  • Ensure scheduling practices comply with applicable laws and company policies
  • Partner with the CD and BCBAs to support appropriate resource utilization

Safety, Facilities & Compliance

  • Support incident reporting and crisis response as needed and within the scope of the role
  • Partner with the CD to maintain emergency preparedness and safety procedures
  • Coordinate facility maintenance and third-party vendor needs
  • Help maintain a clean, organized, safe, and welcoming center environment

Community & Engagement

  • Support community outreach, volunteer events, and local marketing initiatives
  • Partner with the Marketing team to coordinate content highlighting local center activities
  • Support team celebrations, spirit days, outings, and other engagement activities
  • Take on additional projects and responsibilities as assigned by leadership

Schedule & Work Environment

  • Monday through Friday, 8:00 AM to 4:00 PM, with flexibility based on business needs
  • 100% center-based at the designated Mindcolor location
  • Occasional availability outside of standard operating hours may be needed based on business needs

Requirements:

What We're Looking For

  • Bachelor's degree or equivalent relevant experience in ABA, healthcare administration, or a related field
  • Experience with EMR, HCM, and/or scheduling systems
  • ABA scheduling or RBT experience preferred
  • Proficiency with Microsoft Office, Google Workspace, and/or RethinkBH
  • Strong organization, attention to detail, and follow-through
  • Excellent written, verbal, and interpersonal communication skills
  • Ability to manage multiple priorities and work collaboratively with clinical and administrative teams
