Job DescriptionService Writer & Parts Assistant Job SummaryWe is looking for a Service Writer and Parts Assistant to join our team. In this position, you will maintain company vehicles and equipment, as well as taking care of our service customers; whether it be scheduling or performing the service needed for our customers, while also assisting our parts department in shipping and receiving. Our ideal candidate will need some work knowledge with all the systems in a vehicle. We prefer you have the ability to perform any tasks associated with the services scheduled but are willing to work with the candidate that best fills this position. This is a fast paced job with many different hats, so the ability to multi-task is a must!Duties and Responsibilities
- Customer Intake & Service: Greet customers, listen to their vehicle concerns, and ask targeted questions to help technicians diagnose problems.
- Estimating & Quoting: Calculate the costs for parts, labor, and supplies. Prepare detailed repair orders and secure customer approval before starting any work.
- Communication Bridge: Act as the main point of contact for updates, informing customers of repair progress, timeframes, or any newly discovered issues.
- Workflow Management: Schedule appointments, assign jobs to the most qualified mechanics, and coordinate with the parts department to ensure necessary items are in stock.
- Billing & Records: Review invoices, process payments, and maintain accurate records of past services, warranties, and vehicle maintenance histories.
- Ability to Assist Parts Department in shipping and receiving all parts for the company
- Invoicing for routine service jobs in our QuickBooks program
Requirements and Qualifications
- Technical Knowledge: Strong understanding of automotive systems, parts, and maintenance procedures to translate "car talk" for customers.
- Customer Service & Sales: Ability to clearly explain complex repairs and upsell preventative maintenance without jeopardizing trust.
- Organization & Multitasking: Capable of handling multiple vehicles, phone calls, and technician questions in a fast-paced environment.
- Computer Proficiency: Skilled in using Quickbooks and Microsoft software to prepare work orders and invoices.
