Position Summary
Provide high-level administrative and operational support to the School President, Admissions Department, and Department Directors in a fast-paced, professional educational environment. Serve as a key point of contact for students, employees, clients, visitors, and external partners while maintaining a welcoming and professional image of the organization.
Support daily office operations, scheduling, communications, document preparation, records management, purchasing, meetings, and special projects. Demonstrate strong organizational skills, attention to detail, confidentiality, professionalism, and the ability to effectively manage multiple priorities.
Essential Duties and Responsibilities
- Provide administrative support to the School President, Admissions Department, and Department Directors.
- Answer, screen, and route telephone calls to the appropriate staff members while maintaining professional telephone etiquette.
- Welcome and assist students, clients, visitors, vendors, and other guests in a professional and courteous manner.
- Prepare, edit, format, and maintain correspondence, reports, presentations, spreadsheets, and other documents using Microsoft Office.
- Perform a variety of general administrative duties, including copying, scanning, faxing, mailing, filing, and data entry.
- Maintain accurate electronic and hard-copy filing systems while ensuring records are organized, accessible, and appropriately maintained.
- Receive, sign for, track, and distribute UPS, FedEx, and other deliveries and packages.
- Research, compare, price, and purchase office supplies, furniture, equipment, and other materials as needed.
- Coordinate and maintain administrative records related to staff office assignments, telephone services, parking, company credit cards, office keys, and related resources.
- Schedule and coordinate meetings, conferences, appointments, and other events, including preparation of meeting materials and facilities.
- Prepare, maintain, and distribute weekly staff schedules and calendars.
- Assist leadership and staff with special projects, administrative initiatives, and other assigned responsibilities.
- Maintain a professional, organized, and welcoming office environment.
- Handle sensitive information with discretion and maintain confidentiality.
- Demonstrate regular and reliable attendance and dependability.
- Perform other duties and responsibilities as assigned.
Skills, Competencies & Qualifications
- High school diploma or equivalent required; additional education or administrative training preferred.
- Previous administrative, office, customer service, admissions, or higher education experience preferred.
- Strong organizational skills with the ability to prioritize multiple assignments and meet deadlines.
- Excellent verbal and written communication skills.
- Professional telephone etiquette and interpersonal skills.
- Working knowledge of Microsoft Office, including Word, Excel, Outlook, and PowerPoint.
- Strong attention to detail and accuracy in documentation and data entry.
- Ability to maintain confidentiality and exercise sound judgment when handling sensitive information.
- Ability to work independently while also contributing effectively as part of a team.
- Professional appearance, positive attitude, and commitment to providing excellent customer service.
- Basic reading, writing, and arithmetic skills.
- Minimum typing speed of 50 words per minute.
- Ability to interact professionally with students, employees, leadership, clients, visitors, and vendors.
