The Arc Oneida-Lewis, a pioneer in championing individuals with disabilities, invites you to step into the role of a Facilities Coordinator!ABOUT THE ROLE:The Arc, Oneida-Lewis Chapter is seeking to add a Facilities Coordinator to our Facilities Management Department! In this role, you will provide administrative and clerical support to the Facilities Management Department while helping to keep department operations organized, efficient, and running smoothly. You will work closely with the Director of Facilities Management and assist with coordinating work orders, tracking projects, maintaining department records, and supporting various Facilities-related functions.This position is ideal for someone who is highly organized, detail-oriented, and able to manage multiple priorities while working both independently and as part of a team.Responsibilities:Perform a variety of clerical duties for the Facilities Management Department, including typing, filing, data entry, and other administrative tasks.Serve as the receptionist for the Facilities site, including monitoring phone calls, distributing mail, and coordinating department correspondence.Assist the Director of Facilities Management with E-Timekeeping approval of staff timesheets and paid time off requests, including maintaining the department vacation calendar.Maintain the Employee Appraisal Schedule and ensure records remain current.Maintain, update, and generate reports from the Work Order Software to effectively manage the work order process and track the status of projects.Keep departments informed of work order and project status and follow up as needed to ensure timely completion.Record and reconcile all work orders while prioritizing issues based on safety and health concerns, citations, sensitive matters, and other areas requiring immediate attention.Track outstanding POCA items related to Facilities issues and follow up as needed.Complete POCA forms for Facilities and distribute them to the Corporate Compliance Officer, COO, and Program Director.Follow up on Transportation-related tasks in the absence of the Transportation Coordinator.Follow up on Custodial-related tasks in the absence of the Custodial Coordinator.Utilize PC applications and office equipment to complete daily responsibilities efficiently.Communicate effectively with staff, departments, and leadership both verbally and in writing.Qualifications:Associate Degree and 1 year of experience ORHigh School Diploma and specialized training courses with 3 years of experienceValid, clean NYS driver's license and the ability to operate an Agency vehicleStrong interpersonal skillsGood written and oral communication skillsGeneral knowledge of office terminology, procedures, and equipmentAbility to work independently, prioritize responsibilities, and maintain an organized and efficient workflowPAY & PERKS:The pay rate for this position is $18.00/hr-$19.00/hr.
