SCOPE OF DUTIES
Under the direction of the Director of Human Resources or designee, the HR Assistant aids with and facilitates the human resources processes. The position assures that HR activities comply with laws and regulations and are in accordance with federal and state regulations. This role provides administrative support to the human resource function as needed, including record-keeping, file maintenance, HRIS entry and participating in typical annual HR-led employee events.

PRIMARY DUTIES

We are currently recruiting for an HR &amp; Facilities Assistant to join our team in Portland, OR. 
Join our Human Resources Department as an HR &amp; Facilities Assistant. In this role, you will provide crucial administrative support, bridging Human Resources and Building Operations by managing employee records, benefits, onboarding, scheduling (HR tasks) alongside coordinating maintenance, space planning, vendor management, and ensuring workplace functionality (Facilities) tasks for a smooth, complaint, and efficient work environment.

Essential Duties and Responsibilities include but are not limited to:
HUMAN RESOURCE SUPPORT:
<ul>
<li>Recruitment &amp; Hiring: Post jobs, screen resumes, schedule interviews, conduct background checks, prepare offer letters, participate in career fairs. </li>
<li>Employee Data &amp; Records: Maintain accurate employee databases, update HR files, manage leave records, and handle confidential data. </li>
<li>Onboarding &amp; Training: Responsible for welcome packages, schedule new hire orientations and training sessions. </li>
<li>Administrative Support: Schedule meetings, manage HR calendars, handle department emails, and produce HR documents. Coordinate visitor meetings and lunches as needed. </li>
<li>Benefits Administration: Assist with enrollments, distribute and collect related forms. </li>
<li>Employee Relations: Act as a first point of contact for employee questions, assist with performance management, and support exit processes. </li>
<li>Compliance &amp; Reporting: Assist with policy communication, track HR metrics, and ensure data accuracy. </li>
</ul>

FACILITIES SUPPORT:
<ul>
<li>Building Operations: Oversee daily maintenance and common area upkeep.</li>
<li>Space Management: Coordinate office moves, space planning, and equipment setup. </li>
<li>Vendor Management: Liaise with property management, contractors and vendors, manage certificates of insurance and track project files. </li>
<li>Safety &amp; Compliance: Participate in building safety committee, maintain records and coordinate training as needed. </li>
<li>Asset Management: Manage inventories of supplies, equipment, office building access and parking. </li>
<li>General Office: Manage conference rooms, break rooms, front lobby, supply room: keeping all areas clean stocked appropriately. Oversee all incoming and outgoing deliveries.</li>

SKILLS &amp; ABILITIES 
Education
<ul>
<li>Associate degree or relevant professional experience in human resources, business administration, or project management preferred. </li>
</ul>
 
Experience
<ul>
<li>Strong administrative, organizational, and time-management skills. </li>
<li>Excellent communication (written/verbal) and interpersonal skills. </li>
<li>Proficiency with HRIS and general computer office. ADP and SAP, a plus. </li>
<li>Ability to handle multiple tasks, prioritize, and work under pressure.</li>
<li>A proactive approach to problem-solving and customer service. </li>
<li>Highest level of confidentiality, a must.</li>
</ul>

Typical office environment

TRAVEL
Up to 10% travel for this position. Travel to include career fairs as needed.
