Summary of Responsibilities
- Performs advanced and confidential administrative support duties for the Associate Provost for Academic Programs, Assessment and Accreditation, including arranging travel, composing correspondence, distributing meeting agendas, documenting and sharing meeting minutes, managing the Outlook calendar, organizing meetings, and processing transactions related to human resources.
- Ensures administrative support for units or committees within the work portfolio that do not currently have administrative support.
- Establishes, updates, and maintains pertinent files and website information relevant to the work portfolio.
- Obtains factual information requiring knowledge of institutional policies and procedures of both assigned and work-related areas.
- Maintains professional and technical knowledge.
- Coordinates financial activities for the Associate Provost for Academic Programs, Assessment and Accreditation, including expense reporting, index tracking and reconciliation, reimbursements, requisitions, and purchase orders.
- Assists with budget preparation and revisions. Handles incoming calls and walk-in traffic. Provides correct and accurate information to students, faculty and staff members, and external stakeholders.
- Works in collaboration with other administrative support staff members in the Provost's Office to manage and perform functions that affect operations of the Provost's Office.
- Provides task and project management support for a variety of activities, initiatives, and projects in the work portfolio.
- Contributes to team efforts by researching and compiling information from different sources, preparing supportive materials, and monitoring progress for deadlines and deliverables.
- Performs other job-related duties as assigned.
Qualifications / Licenses / Certifications
Graduation from an accredited institution with a bachelor's degree and one year of experience related to the Summary of Duties, OR an associate's degree and three years of experience related to the Summary of Duties, OR any combination of education and/or experience totaling five years.
Knowledge / Skills / Abilities
Knowledge
- Knowledge of office methods, techniques, practices, and procedures, including bookkeeping and marketing communications.
- Knowledge of the use of computers and computer software applications, including word processing, spreadsheets, e-mail, databases, and presentations.
