POSITION DESCRIPTION: Administrative Analyst with Active Secret Security Clearance

Location: Pentagon, Arlington, VA

Status: Contingent Hire Full-Time On-Site

Clearance: Active Secret Security Clearance Required

MUST HAVE: Demonstrated experience providing executive administrative, analytical, and organizational support within a Department of Defense headquarters or comparable government environment.

Position Summary

The Administrative Analyst provides mid-level administrative and analytical support to Headquarters Marine Corps (HQMC), Installations and Logistics (I&L), Logistics Current and Future Operations Branch (LPOV). Working on-site at the Pentagon, this position supports senior leadership through executive correspondence, task management, meeting coordination, records management, workflow tracking, document preparation, research, and administrative analysis supporting Marine Corps Expeditionary Logistics (EXLOG) initiatives.

Working under Government leadership and senior functional personnel, the Administrative Analyst coordinates administrative activities, develops and maintains executive documentation, tracks deliverables and action items, manages calendars and meeting logistics, supports ETMS2 and SharePoint workflows, compiles data for reports and briefings, and assists with organizational communications, financial documentation, and travel administration. The position also provides analytical support through research, data compilation, trend analysis, and preparation of executive-level products that support Headquarters Marine Corps decision-making.

Required Qualifications

  • U.S. Citizen with an Active Secret security clearance and ability to obtain a CAC.
  • Bachelor's degree in Business Administration, Public Administration, Management, Communications, Information Management, or related discipline.
  • Five (5) or more years of experience providing administrative, executive, program, or management support within a Department of Defense or Federal Government organization.
  • Experience supporting executive correspondence, reports, meeting documentation, and task management.
  • Experience coordinating multiple projects, suspense dates, and deliverables in a fast-paced headquarters environment.
  • Experience conducting research, compiling data, and preparing analytical reports.
  • Experience preparing executive briefings, memoranda, meeting minutes, and official correspondence.
  • Experience using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Microsoft Teams, SharePoint, and collaboration tools.
  • Excellent written and verbal communication, organizational, customer service, and time-management skills.

Preferred Qualifications

  • Experience supporting Headquarters Marine Corps, Department of the Navy, Joint Staff, or other Department of Defense headquarters organizations.
  • Experience using Enterprise Task Management Software System (ETMS2) or equivalent headquarters task management systems.
  • Experience maintaining SharePoint sites, records repositories, or knowledge management systems.
  • Experience supporting executive calendars, travel coordination, conference planning, and meeting facilitation.
  • Experience preparing financial spreadsheets, budget documentation, or travel reports.
  • Experience with records management and document control.
  • Familiarity with Marine Corps logistics organizations and headquarters staff operations.

Primary Duties

  • Provide executive administrative and analytical support to Headquarters Marine Corps leadership and LPOV personnel.
  • Prepare, edit, format, and coordinate memoranda, correspondence, reports, executive summaries, information papers, briefing materials, meeting packages, and official documentation.
  • Coordinate and track ETMS2 taskers, internal workflow actions, suspense dates, and response packages to ensure timely completion and Government review.
  • Maintain executive calendars, schedule meetings, coordinate conference logistics, reserve meeting facilities, and distribute agendas and meeting materials.
  • Record, edit, and publish meeting minutes, action items, decisions, and follow-up requirements for leadership meetings, working groups, conferences, and workshops.
  • Develop and maintain recurring weekly, monthly, quarterly, annual, and as-required reports supporting LPOV leadership.
  • Compile, organize, validate, and analyze information from multiple Government stakeholders to support executive decision-making and management reporting.
  • Perform research, collect supporting documentation, and prepare analytical summaries, trend reports, status updates, and management products.
  • Support development and maintenance of SharePoint sites, records repositories, document libraries, and knowledge management resources.
  • Maintain document version control, filing systems, records management practices, and administrative tracking logs.
  • Coordinate staffing packages, document reviews, routing, publication, and dissemination through Microsoft Teams, SharePoint, ETMS2, and other Government collaboration systems.
  • Assist with preparation of budget documentation, financial status updates, spend plans, travel documentation, and supporting administrative records.
  • Coordinate travel requests, travel planning documentation, trip reports, and related administrative actions.
  • Support preparation of executive-level presentations, congressional support materials, speeches, strategic communication products, and briefing packages.
  • Monitor deliverable schedules, milestone completion, action-item status, and recurring reporting requirements to ensure timely contract performance.
  • Assist with development of standard templates, correspondence formats, briefing products, reports, and administrative procedures.
  • Collaborate with Government personnel and contractor staff to ensure administrative accuracy, consistency, and quality of contract deliverables.
  • Perform additional administrative, research, documentation, coordination, and analytical duties as required to accomplish contract objectives.
