Position Summary:

Qualifications:

Primary Responsibilities:
Resident Services
<ol>
<li>Carry out all duties properly and effectively as assigned by the Wellness Director and/or the Executive Director. Supervise the caregiver staff on duty in providing quality care and meeting the needs of residents in accordance with the Oaks Senior Living philosophy and policies. </li>
<li>Adhere to each resident's Negotiated Service Plan and notify the Wellness Director, MOD, and/or the Executive Director of any changes in resident condition.</li>
<li>Answer and respond immediately to resident calls. </li>
<li>Seek assistance and advice from the Executive Director or the Wellness Director immediately if you have any doubts or questions when assisting with medications or treatments before you perform the assigned task.</li>
<li>Assist with serving meals and supervise caregiver staff in the dining room. Ensure that dining room is cleaned after each meal service.</li>
<li>Control the spread of infection by following standard precautions. Dispose of infectious and potentially infectious waste according to residence policy and procedures.</li>
<li>Establish and maintain a good relationship with residents and their families.</li>
<li>Respond to resident emergencies following the proper procedures. </li>
<li>Assist in developing and maintaining a schedule for the caregiver staff that sufficiently meets the needs of residents and ensures proper staffing. </li>
<li>Respond to on-the-job injuries in accordance with the Oaks Senior Living policies and procedures.</li>
<li>Complete 16 hours of continuing education units (CEU) biennially specific to CMA's as outlined by the Alliant GMCF Registry. In addition 16 hours of CEU's must be completed annually. </li>
<li>Lead by example, encourage teamwork, and promote the Oaks Senior Living philosophy.</li>
<li>Provide an "open door" to employees, addressing any concerns or grievances they may have.</li>
<li>Maintain CPR &amp; First Aid certification.</li>
</ol>
Medication Administration
<ol>
<li>Follow the six 'rights" of medication assistance (right resident, right drug, right dosage, right time, right route, right record/documentation) each and every time assistance with a medication occurs. Check each of the six "rights" of medication assistance three different times: when the medication is taken out of the medication cart, immediately before assisting with the medication, and immediately after assisting with the medication</li>
<li>Administer medications to residents according to their Medication Observation Record (MOR) and protect resident privacy. Provide residents with any treatments required as part of their Resident Care Plan as designated. Document clearly and accurately on the Medication Observation Record (MOR) after a medication is taken/given, refused, held, discontinued, changed, disposed of, returned, following the Oaks Senior Livening policy. </li>
<li>Respect the residents' right to refuse medication/treatment. Protect the residents' safety with medications. Explain to the resident what medication is being given and why, prior to assisting with medication.</li>
<li>Observe the resident for any adverse reaction to a medication and report it to the Wellness Director and/or the Executive Director immediately. Report all medication errors honestly and immediately. </li>
</ol>
Communications
<ol>
<li>Attend all regular staff meetings and required in-service training sessions.</li>
<li>Effectively communicate residents' needs with caregiver staff at change of shift according to the Oaks Senior Living policies and procedures. Effectively communicate to the Wellness Director and/or the Executive Director any changes noted in a resident's condition or behavior, adverse reaction to a medication, any resident or family member concerns, complaints, refusal of a medication, any errors noted on the Medication Observation Record (MOR). </li>
<li>Ensure required paperwork for providing resident care is completed and up-to-date.</li>

Physical Job Requirements

JOB SUMMARY
The Medical Staff Specialist provides coordination and organizational support to the Chief Medical Officer, Medical Staff Department Heads, and Chairpersons of Medical Staff Committees while performing confidential and time-sensitive functions of medical staff services. The Medical Staff Specialist will be responsible for managing all aspects of medical credentialing and privileging processes, ensuring compliance with regulatory requirements, facilitating effective communication between medical staff members and clinicians, administration, and other relevant departments, coordinating and managing meetings for medical staff services, as well as peer review monitoring and tracking.
 
Key Responsibilities:
Communication and Collaboration:
<ul>
<li>Serve as the primary point of contact for medical staff practitioners regarding credentialing, privileging, meeting coordination inquiries, and issues.</li>
<li>Respond to email communications professionally and timely.</li>
<li>Collaborate with department chairs, medical directors, chiefs, administration, practitioners, and other departments within the organization to ensure effective communication and coordination of activities. </li>
</ul>
Compliance Regulatory Monitoring and Requirements:
<ul>
<li>Ensure compliance with state, federal, and accrediting agency regulations relating to medical staff credentialing and privileges.</li>
<li>Maintain comprehensive knowledge of relevant regulations and accreditation standards and implement necessary updates and changes as required.</li>
<li>Monitor compliance with established policies, processes and procedures, and bylaws through regular audits, assessments, and evaluations.</li>
<li>Review and revise existing policies, procedures, and processes annually and as needed.</li>
</ul>
Credentialing and Privileging:
<ul>
<li>Oversee the credentialing process for all medical staff members and clinicians, including physicians, advanced practice practitioners, and allied health professionals.</li>
<li>Process credentialing applications and Board approvals, complete appropriate checklists, and follow-up on pertinent documentation and requests.</li>
<li>Verify and maintain accurate and up-to-date documentation, including licensure, certifications, malpractice insurance, education, training credentials, peer references, and hospital affiliations.</li>
<li>Perform background checks, primary source verifications, and evaluation of malpractice claims.</li>
<li>Coordinate the privilege process, including the review and approval of clinical privileges based on qualifications and scope of practice.</li>
</ul>
Database Management:
<ul>
<li>Utilize credentialing software to manage electronic files and track credentialing and privileged activities.</li>
<li>Generate reports and analyze data related to medical staff credentialing and privilege processes. </li>
</ul>
Meeting Coordination:
<ul>
<li>Coordinate and meetings related to medical staff services, including conference room reservations, scheduling, and meeting reminders, placing catering orders, agenda and packet preparation, meeting minutes, and PowerPoint presentations.</li>
<li>Ensure timely distribution of meeting materials and follow-up on action items.</li>
</ul>
Peer Review Monitoring and Tracking:
<ul>
<li>Assist in the monitoring and tracking of peer review activities, including case reviews, quality improvement initiatives, and peer evaluation processes.</li>
<li>Maintain confidentiality and integrity in handling peer review information.</li>
</ul>
Quality Improvement:
<ul>
<li>Participate in quality improvement initiatives related to medical staff credentialing, privileging, and peer review processes.</li>
<li>Identify opportunities for process improvement and implement strategies to enhance efficiency and accuracy. </li>
</ul>
Requirements:
Minimum Level of Education: Requires High School Diploma. Preferred education level equivalent to completion of two years of college or technical school. This position requires analytical skills and the ability to formulate computerized reports.
Formal Training: Must have Medical Staff Office experience and a good working knowledge of Microsoft Office Suite, Outlook, Excel, Word, and PowerPoint.
Licensure, Certification, Registration: CPCS and/or CPMSM Certification Preferred.
Work Experience: Three (3) to five (5) years of work-related experience.
Computer Skills: Proficiency in Microsoft Office Suite (Outlook, Excel, Word, and PowerPoint). Medical Credentialing Software Application is a plus.

Insurance Verification &amp; Eligibility:

Administrative Tasks:

<li>Process daily insurance and consultation paperwork, including data entry and updating notes.</li>
<li>Utilize practice management systems to manage pending appointments.</li>
<li>Accurately register patient demographics in the system, including insurance and authorization details.</li>
<li>File documents in electronic medical records as required.</li>
</ul>
