Position Summary
The Assistant Registrar provides essential support to the Registrar’s Office by undertaking a range of administrative responsibilities. The key priorities include managing and organizing Registrar email communication, updating Registrar web sites, verification of student registration and faculty in Canvas, coordination between faculty and staff for the ExamSoft program, linking and maintaining official academic records, assisting in student registration and enrollment, and all other duties as assigned.
 
Key Duties and Responsibilities:

<li>Manage the main Registrar email account, including responding to inquiries and directing messages appropriately.</li>
<li>Maintain Registrar content on CampusWeb and the VLGS website.</li>
<li>Perform daily verification and updates between Canvas and Jenzabar systems.</li>
<li>Coordinate ExamSoft operations for both Residential and Online Hybrid JD (OHJD) programs, including:</li>

- Working with program coordinators, faculty support staff, and faculty on exam submission, entry, monitoring, proctoring, and technical troubleshooting.
- Providing training and distributing updates to staff and faculty on ExamSoft use and functionality.

<li>Coordinate linking of student files between Admissions and Registrar systems.</li>
<li>Process official and unofficial transcript requests.</li>
<li>Manage Top Academic Student Award notifications.</li>
<li>Assist with commencement preparation, including student lineup on the day of the ceremony.</li>
<li>Support student registration, prepare verification letters, and assist with grade entry.</li>
<li>Provide enrollment and degree verifications to third parties.</li>
<li>Perform other duties as assigned.</li>
</ul>
Requirements:
Required Education, Skills, and Experience:
<ul>
<li>Bachelor’s degree, or an equivalent combination of education and experience.</li>
<li>Minimum of four years of administrative experience, preferably in higher education environment.</li>
<li>Strong written and verbal communication skills, including public speaking.</li>
<li>Ability to use and maintain database systems.</li>
<li>Exceptional organizational skills, attention to detail, and proficiency in Microsoft Office Suite and Adobe Acrobat.</li>
<li>Familiarity with higher education systems, FERPA regulations, and compliance protocols.</li>
<li>Ability to manage multiple projects, prioritize tasks, and meet deadlines.</li>

<li>Manages the daily operations of the Bursar’s Office, which includes directing all work activities, compiling, processing, auditing, and reporting of receivables and collections data; ensuring accuracy and timeliness of task completion and reporting; maintaining efficiency in workflow and successful integration with all college and system departments; and monitoring compliance with accounting procedures, financial aid procedures, and departmental policies.</li>
<li>Enters accounts receivable daily entries, adjusting entries, and other department work as required including the auditing of student accounts, financial aid, and transmittals on a timely basis and giving daily approval on the Banner AR System and the Banner Finance System.</li>
<li>Manages the process of billing, collections, and loan disbursement activities. Counsel students and families regarding accounts receivable, financial planning, and aid eligibility, and ensures that all students (new, re-admits and returning) are fully aware of their financial obligations as well as the appropriate financial resources and options available to them.</li>
<li>Processes all financial aid disbursements and returns as required by Federal reimbursement guidelines, which includes administering the processing of Title IV and other forms of financial aid to provide for the prompt and accurate payment of financial aid to students. Remains current on the Federal Department of Education’s Regulations, including, but not limited to FERPA rules.</li>
<li>Addresses disbursement concerns with the Financial Aid Office.</li>
<li>Generates reports relating to revenue and collections activities as required to apprise the Leadership Team and makes recommendations based on these reports. Oversees the collection process at the campus level to include student requests for waivers, rebates, and credits.</li>
<li>Reviews CCSNH bank accounts for RVCC deposits; disseminates deposit information to the appropriate individuals for processing in Banner AR, enters deposit information in Banner Finance, and audits daily deposit information.</li>
<li>Works closely with other departments and college personnel including Academic Affairs, Registrar, Admissions, and the Coordinator of High School Programs in areas relating to student registration, onboarding, student accounts and billing.</li>
<li>Provides training and cross-training programs to staff from other departments.</li>
<li>Participates in orientation presentations to help students understand their financial obligations regarding tuition payment options and deferment of tuition.</li>
<li>Introduces and maintains solutions to improve and streamline the effectiveness and efficiency of the student a accounts Bursar function.</li>
<li>Complies with all system, college, state and federal rules and regulations.</li>

MINIMUM QUALIFICATIONS:
Education: Bachelor’s degree from a recognized college or university with major study in accounting or business administration.
Experience: Six years' experience in accounting, auditing, financial aid, or account management, preferably within higher education.

Education: Associate’s degree from a recognized college or university with major study in accounting or business administration.
Experience: Eight years' experience in accounting, auditing, financial aid, or account management, preferably within higher education.
License/Certification: Valid driver’s license or access to transportation for Statewide travel.
Desired Qualifications: Proficient computer skills, the ability to manage multiple time sensitive tasks, and effective verbal and written communication skills. A strong customer service background is required. Accounts receivable and financial aid experience is a plus.
