Our client, a nationally respected worker-side labor and employment law firm, is seeking a Legal Secretary to join its Emeryville office on a contract-to-hire basis. This role involves litigation, administrative support, and workflow coverage across PERB, NLRB, and public works matters. The ideal candidate is confident, proactive, socially engaged, and thrives in a collaborative, deadline-driven environment. You’ll be part of a cross-trained secretarial team that supports multiple practice areas through a centralized workflow system.
Responsibilities
- Draft, format, and file legal documents, pleadings, and correspondence from both written and dictated sources
- E-file documents with federal, district, and administrative courts, ensuring compliance with court and agency rules
- Manage attorney calendars, travel arrangements (including complex itineraries), and arbitration scheduling
- Maintain organized client files, including indexing and filing, and ensure confidentiality
- Communicate professionally with clients, courts, co-counsel, and opposing counsel via email, mail, and phone
- Operate standard office equipment (computer, copier, transcription machine, scanner, velobinder, etc.) and legal software
- Support workflows across PERB, NLRB, and public works groups
- Confirm receipt of communications and anticipate attorney needs
- Route outgoing mail using appropriate delivery services
- Utilize master calendar and docket systems; establish and maintain deadline reminder systems
- Prepare file-opening documentation (e.g., “Blue Sheets”)
- Screen incoming calls and record messages as needed
- Stay informed about union clients and key contacts
- Make calls to courts, clients, co-counsel, and arbitrators to set calendars/arbitrations
- Assist with onboarding and cross-training; provide training to others as needed
Qualifications
- 3–5 years of litigation experience; Labor & Employment law is a plus
- Experience with PERB and NLRB matters is a plus but not required (training offered)
- Proficiency in Microsoft Word, including templates, TOC/TOA generation
- Is proficient in handling proofs of service, large filings with exhibits, and is knowledgeable on local court rules
- Familiarity with e-filing procedures across jurisdictions
- Strong proofreading, grammar, and communication skills
- Knowledge of state and federal court rules and ability to research them
- Ability to be confident, proactive, and socially engaged
- Comfortable working in a high-expectation, fast-paced environment
- Familiarity with union representation and working with local, regional, and international reps
- Willingness to learn and use specialized legal software i.e. Best Authority or similar
