Overview

An Ambulatory Infusion Suite (AIS) Coordinator oversees daily administrative operations, ensuring safe, high-quality patient care in a specialized outpatient setting. Key responsibilities include patient customer service, vendor coordination, administrative inventory and ordering, and patient billing services.

AIS Coordinator partners with clinical leadership and staff to ensure the site maintains high standards to ensure optimal patient experience.

Shift: Monday-Friday 8:30am-5:00pm


Responsibilities

  • Monitors daily clinic flow and coordinate with nursing staff regarding patient schedules and chair/room utilization
  • Supports appointment scheduling workflows and manage patient reminder communications, as applicable
  • Managing cancellations and assist with onboarding paperwork and administrative intake processes
  • Maintains AIS supply inventory, including snacks, beverages, and non-clinical supplies
  • Coordinates nursing supply ordering with pharmacy to maintain appropriate par levels
  • Manage fax queue and ensure timely routing of documents (e.g. POTs, orders, external communications)
  • Serve as the first point of contact for patients and visitors
  • Greet patients, ensure timely room placement, and notify nursing staff of patient arrival
  • Maintain Cleanliness and organization of reception and infusion suite areas
  • Ensuring patient comfort (e.g. beverages, snacks, general environment)
  • Coorinate lab specimen pickups and maintain lab supply inventory
  • Order and maintain necessary lab materials and supplies
  • Coordinate and schedule appropriate vendor drop-off and pick-up (sharps, shredding, drinks/snacks, hazardous waste)
  • Support patient billing activity in Alayacare
  • Support the launch, implementation, and evaluation of clinical programs designed to improve patient outcomes and operational efficiency.
  • Monitor program effectiveness and recommend enhancements based on performance data and clinical outcomes.
  • Establish performance metrics and accountability structures for clinical processes across branches.
  • Equipmenat and Facility Oversight
  • Track and coordinate routine maintenance and servicing of AIS equipment, including infusion pumps, AEDs, patient scales and vital sign equipment
  • Ensure equipment is up to date on required servicing, calibration, and supply checks
  • Maintain documentation related to equipment maintenance and compliance
  • Supervisory Responsibility: No


Qualifications

  • Experience in home infusion, specialty pharmacy, or ambulatory infusion center operations strongly preferred
  • Excellent interpersonal and communication skills
  • Customer Service experience
  • Experience will patients with mobility issues
  • Ability to manage multiple priorities in a fast-paced healthcare environment.
  • Strong organizational skills and attention to detail.
  • Percentage of Travel: 0-25%
  • Driving Position: No

**To perform this role will require frequently sitting, and typing on a keyboard with fingers, and occasionally standing, walking, bending, reaching, climbing (stairs/ladders), kneeling, crouching and stooping. The physical requirements will be the ability to push/pull and lift/carry 1-10 lbs**
