Job Description

A well-established law firm is seeking an experienced Litigation Secretary to support attorneys in either the Oakland or San Francisco office. This is a full-time, non-exempt position with a hybrid work schedule working 2 days in the office.


Responsibilities

• Draft, edit, proofread, and revise legal documents, pleadings, correspondence, memoranda, reports, and emails

• Prepare and electronically file documents with state and federal courts and administrative agencies

• Assist attorneys with preparation for depositions, hearings, mediations, trials, meetings, and other proceedings

• Review and route incoming mail and legal correspondence appropriately

• Manage attorney calendars, including scheduling meetings, court appearances, depositions, and deadlines

• Enter attorney time and coordinate with billing personnel to support timely invoicing

• Prepare new matter documentation and track file openings

• Process check requests, vendor payments, expense reimbursements, and travel arrangements


Qualifications

• Bachelor’s degree preferred

• Minimum of 7+ years of litigation secretary experience, preferably supporting senior attorneys or partners

• Labor & Employment, real estate, construction law or municipal public law experience strongly preferred

• Strong written and verbal communication skills

• Excellent organizational skills with the ability to manage multiple priorities in a fast-paced environment

• Ability to work both independently and collaboratively

• Strong attention to detail and problem-solving abilities

• Proficiency in Microsoft Office Suite and Adobe Acrobat

• Experience with legal document management, calendaring, and billing software such as NetDocuments, Best Authority, CompuLaw/ProLaw, and Aderant preferred
