Our client is a distinguished global provider of legal services. We are seeking a seasoned, proactive, and motivated Legal Practice Coordinator to collaborate closely with the Associate Director of Practice Services in overseeing the department’s daily administrative operations. The ideal candidate will possess familiarity with legal administrative protocols, law firm practice areas, and paralegal workflows; previous paralegal experience or certification is strongly preferred.
This position emphasizes personnel management, process efficiency, and exceptional service delivery, demanding sound judgment, robust organizational skills, and adaptability within a dynamic, fast-paced law firm setting. Regular engagement with attorneys, practice assistants, paralegals, and firm leadership is required to ensure adequate coverage, supported workflows, and consistently maintained high service standards. Desired Qualifications and Experience:
- A bachelor’s degree is required; equivalent professional experience will be considered.
- At least three years of experience in a coordinator role (or equivalent), ideally within a mid-to-large law firm or corporate environment.
- Familiarity with legal administrative services, law firm practice areas, and paralegal workflows; prior paralegal experience or certification is preferred.
- Strong command of Microsoft Word and Excel, with the ability to manage data accurately and efficiently; experience with PeopleSoft and iManage is a plus.
- Clear, professional communication skills with the ability to interact effectively across all levels of the firm while exercising discretion and sound business judgment.
- A highly organized, detail-oriented approach with the ability to prioritize competing demands and meet deadlines.
- Comfort working independently, adapting to change, and proactively identifying solutions in a fast-paced environment.
- A consistent commitment to handling sensitive information with care, fairness, and integrity.
- A professional, flexible, and positive approach to working with colleagues and clients.
Summary of Responsibilities:
- Timekeeping, Attendance & Compliance: Maintain absence calendars for Practice Assistants and Paralegals; monitor attendance, leave, overtime, and coverage needs; conduct timekeeping audits across systems; and track billable and non-billable hours for compliance and reporting.
- Daily Staffing & Workflow Management: Determine daily assignments, coordinate holiday on-call schedules, arrange attorney backup phone coverage, and manage workload adjustments to ensure consistent support.
- Employee Support & Performance Coordination: Serve as a trusted resource for Practice Assistants and Paralegals; reinforce firm policies; collect and share feedback; and collaborate with the Associate Director on reviews, performance discussions, and follow-up actions.
- Attorney & Practice Support: Field attorney requests, identify effective solutions, and partner with internal teams such as Conference Services to support practice and business needs.
- Administrative Operations & Systems Management: Maintain organizational documents, reports, calendars, and spreadsheets; update human resources and financial systems; manage system access and requests; and ensure accuracy across platforms.
- Onboarding, Meetings & Special Projects: Coordinate onboarding, transitions, and moves; support department meetings, training sessions, and events; and manage document review logistics, including vendor coordination, compliance documentation, and invoice reconciliation.
