Position Purpose

The Legal Assistant will play a vital role in ensuring the smooth and efficient preparation of our client's estate planning documents. This full-time, hourly position reports directly to the Senior Drafting Paralegal and supports the drafting and production process by producing our client's document verification form, contributing to software data entry, and assisting with the organization, assembly, and management of the client's estate planning documents. The Legal Assistant will work closely with the legal team to ensure that all materials are prepared accurately and promptly, contributing to a seamless client experience and upholding our firm's commitment to high-quality standards. This is a detail-oriented, task-driven role that is essential to maintaining operational efficiency and delivering outstanding service to our clients. This position works within a 4.5-day-per-week schedule.


Authority

The Legal Assistant has no supervisory authority beyond that specifically delegated by the owner or the Director of Operations. Additionally, all non-attorney support staff are prohibited from practicing law by the ABA's Rules of Professional Conduct and State Bar Association rules. All client-focused work done by the Legal Assistant must be in support of and under the supervision of an attorney. In dealing with clients and potential clients, the Legal Assistant must be careful not to slip into the unlawful practice of law inadvertently.


Essential Duties and Responsibilities

Document Preparation:

  • Use designated client notes to produce the Confirmation of Important Information document
  • At the approval of the Senior Drafting Paralegal, utilize the approved Confirmation document to input the client's data into the drafting software
  • Ensure all final documents are complete, accurate, and ready for attorney or paralegal review
  • Assist in physical document production by downloading, organizing, and saving all finalized estate planning documents

Administrative and Operational Support:

  • Coordinate with the Senior Drafting Paralegal to prioritize daily and weekly tasks
  • Ensure workspaces used for document preparation remain clean and organized
  • Assist in maintaining the organization and cleanliness of the client's physical file system and coordinate document handoff between the legal and administrative sides of document production

Quality Control and Accuracy:

  • Double-check documents for completeness, signature readiness, and consistency
  • Confirm that all client information is correctly reflected in the final documents
  • Follow established procedures for handling sensitive and confidential materials

Client-Facing Coordination:

  • Occasionally assist in setting up for client meetings
  • Provide a courteous, professional presence when interacting with clients in person or by phone
  • Support the team in delivering a seamless client experience by being responsive and detail-oriented
  • Occasionally provide translation support, as needed

Collaboration and Communication:

  • Report directly to the Senior Drafting Paralegal for daily guidance and oversight
  • Communicated effectively with attorneys, paralegals, and administrative staff to support firm objectives
  • Participate in team meetings or workflow check-ins
  • Offer suggestions for process improvements or task efficiencies

Education and Required Skills/ Experience

  • Desire to work in a law firm focused on business development and growth
  • Strong personal maturity and ability to work in a healthy, positive manner
  • Strong discretion and judgement, and the ability to appropriately handle confidential information
  • Ability to work in Gainesville, Georgia 5 days per week
  • Fluent in Spanish (spoken and written) - required to support our diverse client base
  • Prior experience in a professional office setting preferred
  • Strong attention to detail and commitment to producing high-quality, error-free work
  • Excellent organizational and time management skills, with the ability to prioritize multiple tasks
  • Strong communication and interpersonal skills, both in person and over the phone

  • High school diploma or equivalent required; Associate's or Bachelor's degree preferred
