Position Summary

We are seeking a detail-oriented and proactive Transaction Coordinator to support residential real estate transactions from contract to closing. This role is responsible for coordinating documentation, tracking deadlines, maintaining organized escrow files, and communicating with agents, clients, escrow, title, lenders, and other third parties to ensure each transaction moves smoothly and efficiently.

The ideal candidate is bilingual in English and Mandarin, has prior real estate or transaction coordination experience, and is comfortable working in a fast-paced environment with multiple deadlines.

Key Responsibilities

  • Coordinate residential real estate transactions from contract through closing
  • Manage escrow files and ensure all required documents, signatures, and dates are complete and accurate
  • Track contingency deadlines, opening and closing dates, and other key transaction milestones
  • Communicate with agents, clients, escrow, title, lenders, and third-party vendors to obtain and process required information
  • Upload, organize, and maintain documents in the transaction management system
  • Send reminders and follow-ups regarding outstanding items and upcoming deadlines
  • Assist with broker file creation, closed file archiving, and transaction reporting
  • Provide general administrative and office support as needed

Qualifications

  • Bilingual in English and Mandarin required
  • Prior experience in real estate transactions or as a Transaction Coordinator preferred
  • Strong knowledge of California real estate transaction processes; familiarity with CAR forms and disclosures preferred
  • Excellent written and verbal communication skills
  • Strong organizational skills with careful attention to detail
  • Ability to manage multiple files and deadlines efficiently
  • Proficient in Microsoft Office and comfortable learning transaction management software
  • California Real Estate License preferred, but not required
