Job Summary:

The Facilities Specialist works closely with the Operations Manager to manage agency facilities, including assisting and administering assigned personnel, maintenance, safety, facilities, and finance functions. This position is responsible for all agency-wide guidance towards facility maintenance, repairs, and upkeep, including oversight and execution of snow removal and plowing.

Essential Duties and Responsibilities:

  • Plan, direct, or coordinate operations and functionalities of facilities and buildings.
  • Control spending against the budget and adjust spending in response to facilities spending.
  • Develop and maintain procedures to meet CARF, OSHA, DOL, and other mandatory standards, focusing on continuous improvement practices.
  • Maintain a safe and clean environment, ensuring compliance with safety regulations, machine guarding, lockout/tagout, and MSDS/SDS sheets.
  • Act as a liaison with Leasing Agent, customers, and the public to ensure customer satisfaction and a positive agency image.
  • Monitor quality and safety standards and address issues with leadership to implement corrective action when necessary.
  • Prepare and track meaningful metrics and procedures to drive process improvement.
  • Direct and initiate necessary vehicle maintenance and purchasing; maintain logs for agency vehicles' maintenance and obtain bids.
  • Advise the Operations Manager of job requirements or problems impacting prioritization or scheduling.
  • Advise janitorial and grounds personnel team leaders, and initiate purchase orders in support of these functions.
  • Serve on the safety committee and ensure completion of regularly scheduled drills and internal and external safety inspections.
  • Protect the rights of individuals served in accordance with the Michigan Mental Health Code and agency policies, completing incident reports as required.
  • Handle basic repairs and maintenance for MRC buildings and rental spaces under the direction of the Operations Manager.
  • Diagnose mechanical issues and correct them.
  • Facilitate repair of machines, equipment, or structures, as necessary.
  • Perform routine building and vehicle inspections and preventative maintenance.
  • Serve as a backup to custodial staff/grounds/contractors performing duties such as vacuuming carpets, trash removal, mopping and waxing floors, cleaning, sanitizing bathrooms, and lawn and landscaping, and construction.
  • Schedule and oversee any vendor(s)/contractor(s) and pest control for complex areas outside of routine repairs or when professional repairs are necessary.
  • Act appropriately and promptly on all maintenance requests, coordinating with individuals involved and obtaining approval from the supervisor on major expenses.
  • Be responsible for areas such as maintaining inventory of supplies, tools, and equipment, and keeping maintenance records.
  • Oversees implementation of snow and ice removal to ensure safe and accessible facilities across multiple locations.
  • Be on call after hours/weekends for security, snow removal needs, maintenance problems, or events. Respond quickly in the event of an emergency, notify appropriate personnel, and follow safety protocols.
  • Aid in budget development and ensure it is followed.
  • Act as a mentor and coach to develop skills for skill-building team members in the mechanical and maintenance fields.
  • As necessary complete daily electronic progress notes for the individuals in the program assigned to the maintenance department for that service day.
  • Attend any necessary IPOS Staff Training meetings.
  • Devise and develop fixtures to enable skill-building team members to participate in facilities management and accommodated work.
  • Schedule, coordinate, and facilitate all safety drills at all facilities.
  • Completes other miscellaneous duties as assigned.

  • Strong time management skills

  • Knowledge of cleaning products, equipment and their proper use
  • Ability to obtain certification in forklift operation.
  • Detail-oriented with good organizational skills and follow-through.
  • Must be able to exercise good judgment and self-motivation to maintain efficient and effective standards of operation.
  • Ability to take apart machines, equipment, or devices to remove and replace defective parts or coordinate the above.
  • Ability to check blueprints, repair manuals, or parts catalogs, as necessary.
  • Ability to use common tools such as hammers, hoists, saws, drills, wrenches, etc.
  • Compliance with the guidelines outlined in the Infectious Disease and Bloodborne Pathogen policy.
  • Criminal records, driving and recipient rights screening required.
  • Valid Michigan driver's license, good driving record and the availability of licensed, insured vehicle for use on the job required.

Education and Experience:

  • Minimum of three years of maintenance experience or maintenance certification required.
  • Must possess a minimum of a High School education or equivalent with the ability to read and write clearly.
  • Supervisory experience a plus
  • Experience in operating a variety of equipment, including snow blowers, lawn mowers, trimmers, and small hand/power tools and forklift.

Physical requirements:

  • Must be able to set up tables and chairs, remove snow, mow, climb ladders, bend, squat, and crawling in tight spaces
  • Use of protective equipment
  • Lifting and carrying up to 35 pounds.
  • Extensive reaching and lifting

Work Conditions:

  • Ability to tolerate cold, hot and humid conditions.
  • Office and production environment along with travel in the community
  • Work hours occasionally involve evening or weekend hours.
  • Some exposure to hazards or physical risks, which require following basic safety precautions.
  • May involve moderate exposure to unusual elements, such as extreme temperatures, dirt, dust, fumes, smoke, unpleasant odors, and/or loud noises
  • May be exposed to bloodborne pathogens, infectious diseases, and parasites.
