General Position Summary

The Contract Analyst is responsible for reviewing, drafting, analyzing, and managing contracts for the Company. In addition, the Contract Analyst is responsible for maintaining the updates to the calculators used in the contract negotiations as well as providing an initial review of the completed calculator prior to forwarding to the Chief Financial Officer for his approval. This role ensures that all contractual agreements are legally sound, compliant with company policies, and aligned with business goals. The Contract Analyst works closely with various departments, such as ISS Sales, Customer Operations, SBS manufacturing and Engineering, to manage contracts and ensure the organization’s interests are protected.

Essential Job Functions

Contract Analyst Activities

  • Maintain the accuracy of the Calculators used to support the contractual financial terms and pricing of all contracts.
  • Ensure sales prices and costs for all items in the calculator are accurately maintained and updated.
  • Ensure new items are added to the calculator.
  • Implement changes in the calculator to support the changes in the business and to improve efficiency and ease of use by the Sales Personnel.
  • Organize, file and maintain accurate contract records in the Genie Contract Folders by Customer. Ensure version control for Agreements and calculators are maintained.
  • Create standard contractual terms with the Chief Financial Officer for the various types of contracts executed (Reagent Acquisition, Reagent Rental, Reagent & Service Usage and Consumable Rental Acquisition Agreements).
  • Draft and revise contract terms and conditions in collaboration with ISS sales and customer legal teams to ensure clarity and compliance with company policies and applicable laws.
  • Ensure all revisions are approved by the Chief Financial Officer prior to Agreement being executed. Also, ensure all details from the Calculators are properly reflected in the Agreement and supported.
  • Collaborate with ISS sales team and Chief Financial Officer to align contract terms with business requirements.
  • Manage the full lifecycle of contracts from initial negotiation to execution and renewal or amendment(s).
  • Track key contract milestones, including price and volume increase dates, termination clauses tier pricing and performance obligations.
  • Maintain accurate records log of contracts, calculators and related documents in an excel spreadsheet. Also, identify a new contract management system.
  • Maintain a contract log of pending contracts and follow up with ISS sales team on status of execution of the contract.
  • Work closely with Customer Operations to ensure price changes in Fusion customer price lists are updated in accordance with contractual dates and/or terms.
  • Prepare and present monthly reports on contract status, risks and compliance.
  • Research and provide initial proposals to mitigate/eliminate contract compliance deficiency situations
  • Work closely with ISS team to understand reasons for contract non-compliance issues and determine timeline for customers to return to compliance and track performance.
  • Establish monthly meetings with ISS team members to review monthly customer compliance. Prepare financial and volume count information compared to the customers’ commitment to facilitate an efficient review process.

Quality/Business Systems Activities

  • Ensure that the Quality/Business System is defined and deployed and actively seeks opportunities for continuous improvement
  • Follow up on action items addressed by LRT and oversees resolution of quality issues relating to accounting SOP’s.

Other Activities

  • Maintains good communications both inside and outside of the Company and coordinates maintenance or repairs in a timely manner.
  • Performs other duties and projects, as assigned.

Essential Job Requirements

Education

Bachelor's degree In Business Administration or degree in Accounting or Finance, or equivalent level of both education and experience in related field.

Experience & Minimum Qualifications

  • 2 to 5 years in contract management or equivalent level experience
  • Familiarity with contract management software and tools
  • Strong organizational skills
  • Knowledge of contract commitment preparation and administration.
  • Knowledge of drafting, reviewing and managing contracts from initiation to execution
  • Experience in identifying risks and ensuring compliance with legal standards, company policies and contractual commitments.
  • Ability to establish and maintain effective working relationships both internally and externally
  • Ability to work under pressure
  • Ability to develop and maintain effective controls over financial reporting.
  • Ability to collect, analyze and summarize data and to prepare clear and concise reports.
  • Strong excel skills and ability to work with Power Bi.

Physical Requirements & Working Environment

  • This position requires the employee to frequently sit. In addition, the employee is occasionally required to stand, walk, use hands and fingers and reach with hands and arms.
  • Must be able to occasionally lift and/or move up to 15 pounds.
  • Ability to read and analyze hard written copy and information on a computer screen.
  • Ability to successfully respond to multiple work pressures.
  • Ability to communicate verbally and in writing to individuals and groups.
  • Ability to communicate verbally in person and using a phone.
  • Ability to listen for understanding and assisting in problem solving.
  • Ability to drive or travel for business related activities. Must have a valid Driver’s license and access to a car.
