Job Description
We are looking for a self-motivated, eager, and dedicated Receptionist to ensure smooth running of the office and effective scheduling. You will provide a broad spectrum of services under the supervision of a Legal Assistant and Attorney.
Responsibilities
- Answer and direct phone calls, Set up appointments for incoming callers as necessary
- Distribute mail, copy outgoing invoices/ letters with checks, prepare for mailing.
- Act as first point of contact for visitors
- Take payments - give receipts for all
- Filing- Put files into the proper file drawers in alphabetical order, sort into the sorting accordion and then distribute into the proper file
- Inputting bank statements into Quicken
- Estate Planning Documents
- Input bank statements into Excel Worksheet or Court Accounting software for client Guardianship Accountings
- Notify the Legal Assistant when supplies need to be ordered
- Vacuum entryway when needed to maintain a professional area
- Prepare Conference Room for meetings
- Copy any documents the Attorney has requested.
Skills
- Proven working experience as legal receptionist or legal secretary
- Familiarity with legal documents
- Satisfactory knowledge of day-to-day operations of a legal office
- Computer literacy in office programs (i.e. Word, Excel, etc.)
- Proficiency in English
- Working knowledge of accounting software (Quicken, Societal)
- Excellent secretarial and organizational skills
- Ability to juggle multiple activities and work under pressure
- Ability to answer calls, transfer calls, take messages, make appointments
