SUMMARY:
The Business Systems Supervisor – Encompass oversees the administration, optimization, and strategic development of the Encompass Loan Origination System (LOS) along with other integrated business applications. This role manages a team of administrators to ensure efficient system performance, regulatory compliance, user support, and continuous improvement. The supervisor partners with cross-functional stakeholders to streamline loan origination workflows, enhance data integrity, and drive operational excellence.
ESSENTIAL RESPONSIBILITIES & DUTIES:
Supervisory Role:
- Lead, mentor, and manage Business Systems Administrators.
- Establish team goals, KPIs, and performance expectations to support organizational objectives.
- Conduct regular performance reviews, provide coaching, and identify professional development opportunities.
- Resolve escalations and complex system issues efficiently and effectively.
- Create and maintain team schedules, assignments, and workload distribution.
- Foster a collaborative, positive team culture and facilitate team-building activities.
- Participate in leadership meetings, contributing insights on system capabilities, roadmaps, and resource planning.
- Perform all other duties as assigned.
System Administration – Encompass & Related Platforms:
- Manage Encompass system configuration including personas, business rules, workflows, milestones, input forms, and security settings.
- Oversee user access, permissions, and audit compliance across all mortgage technology platforms.
- Implement system updates, patches, and new releases; coordinate testing, validation, and deployment.
- Maintain system documentation, configuration standards, and platform governance guidelines.
- Support third-party integrations.
- Troubleshoot complex system issues, partnering with IT, vendors, and internal stakeholders.
Strategic and Operational:
- Develop and maintain custom Encompass forms, templates, input fields, dashboards, and reporting tools.
- Create, refine, and deploy automation through business rules, workflows, and scripting tools where appropriate.
- Conduct user acceptance testing (UAT) and quality assurance for all system changes.
- Recommend enhancements based on process analysis, system usage, and stakeholder feedback.
Data Management & Compliance
- Ensure data integrity, accuracy, and security across all mortgage systems.
- Oversee data imports/exports, database relationships, and cross-system data mapping.
- Support compliance initiatives including TRID, HMDA, RESPA, and audit readiness.
- Maintain logs, audits, change management records, and regulatory documentation.
Strategic and Operational Responsibilities:
- Identify and lead process improvement initiatives to improve operational efficiency and reduce manual work.
- Provide reporting and analytics that support business decisions, performance monitoring, and compliance.
- Contribute to technology roadmaps, system upgrade strategies, and long-term LOS planning.
- Support business continuity, disaster recovery planning, and platform risk mitigation.
OTHER DUTIES, KNOWLEDGE, SKILLS, ABILITIES:
- Excellent written and verbal communication, able to translate complex system concepts for non-technical audiences.
- Strong knowledge of mortgage industry processes including origination, underwriting, closing, and secondary.
- Ability to prioritize multiple tasks, manage competing deadlines, and work independently when needed.
- Skilled at problem solving, requirements gathering, and root cause analysis.
- Ability to learn and master new software applications quickly.
- High attention to detail, accuracy, and documentation discipline.
COMPENSATION: $65,300 – $81,700 Annual Salary.

The specific salary offered will be determined based on factors such as the qualifications of the selected candidate, departmental budget, internal salary equity considerations, and available market information.

Requirements:
Required Qualifications:
- Education: Associate or bachelor’s degree in information technology, business systems, computer science, or related field.
- Experience: 3+ years in software administration (ideally Encompass LOS or similar mortgage technology) with 1+ year supervisory or team lead experience.
- Certifications: Encompass Administrator Certification, Ice Mortgage Technology certifications, ITIL, Microsoft, or relevant certifications preferred.
Physical & Work Environment:
- Ability to work on PC-based platforms daily.
- Occasional after-hours support for critical updates or outages.
