We are a family-run litigation law firm, practicing in New Jersey for over sixty years, in need of a friendly, positive, responsible and self-motivated individual to join our office as a secretary. The role requires experience in litigation, and competent skills in clerical tasks, calendar organization, and client relations. We are located in the Legal Center, attached to Newark Penn Station, easily accessible by public transportation. Our office hours are from 9 to 5, Monday through Friday, and the candidate will be responsible for the following:
- Managing, maintaining and being fully responsible for the law office's calendar and scheduling.
- Assisting attorneys with case preparation, including drafting legal documents, correspondence, and pleadings.
- Answering our office telephone in a professional, pleasant manner.
- Managing and organizing case files, ensuring all documents are accurate and up-to-date.
- Coordinating and communicating with clients, courts, and other parties involved in legal proceedings.
- Ensuring proper noticing of clients for all court dates and exam appointments.
- Monitoring deadlines to ensure all are met.
- Stocking office with necessary supplies and other administrative tasks.
We pride ourselves in maintaining a professional and pleasant working environment, and are looking for someone who posses strong interpersonal skills. The candidate should also be self-motivated and self-directed, posses experience as a secretary or legal assistant, have the ability to juggle multiple activities and work under pressure, and posses the standard level of computer literacy and proficiency in MS Office and Dropbox. Fluency in English is required, and candidates who are fluent in Spanish both verbally and in writing will be preferred.
Qualifications:
- Minimum of 2-3 years of experience as a legal assistant.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Ability to work independently and as part of a team.
- High level of attention to detail and accuracy.
