The Vogel Group is seeking a highly organized and detail-oriented Administrative Real Estate Assistant to support our real estate team. The ideal candidate will play a vital role in ensuring the smooth operation of daily tasks, including preparing contracts and disclosures, maintaining accurate client records, and assisting with property showings.

Key Responsibilities:

• Prepare and manage real estate contracts, disclosures, and other transaction-related documents with a high level of accuracy.
• Schedule, coordinate, and occasionally conduct property showings in support of the lead agent or team.
• Maintain and update the CRM (Customer Relationship Management) system with client information, follow-up tasks, and pipeline tracking.
• Communicate professionally with clients, vendors, and internal team members to ensure seamless transactions.
• Track key contract deadlines and assist in coordinating closings.
• Provide general administrative support including answering calls, managing emails, scheduling appointments, and maintaining organized digital and physical filing systems.
• Assist with marketing efforts as needed (e.g., listing coordination, social media posts, open house materials).

Qualifications:

• Previous administrative experience in real estate or a related field preferred.
• Familiarity with real estate contracts, disclosures, and transaction workflows.
• Valid real estate license (or willingness to obtain one if required for showings).
• Proficiency with CRM systems and office software (Google Workspace or Microsoft Office).
• Excellent organizational skills and strong attention to detail.
• Ability to manage multiple tasks and deadlines in a fast-paced environment.
• Strong interpersonal and communication skills.
• Dependable, proactive, and solution-oriented.
