Our Spokane Valley based association management firm is adding a new full time Association Manager to support our continued growth. You will be managing a portfolio of Community and Homeowners associations (HOAs) working directly with the volunteer Board of Directors, homeowners, and vendors; balancing community needs with community budgets; contracting; managing payables, receivables and financials reports; performing property inspections; tracking and following up on governance issues; and soliciting bids for maintenance and/or renovation projects.


We are your partner and dedicated to your success, so we provide you with a reasonably sized portfolio, limited nightly meetings, and you will be supported by a team of administrators, accounting personnel, and the principals of the company to help you provide industry leading association management services.


Requirements

Candidate must possess previous experience as an association, non-profit organization, hospitality or real estate manager; excellent communication and organizational skills; be self-starting and reliable; have a high degree of professionalism; excellent communicative skills; professional business writing/ email skills; be proficient in Microsoft Word, Excel, and Outlook; have the ability to quickly learn new software platforms, have a driver’s license/ auto insurance and reliable transportation, and pass a background check and drug screening. Service on your HOA or Condominium Board gives you bonus points!!


We are a customer service driven company. You must have an ability to work under pressure with even temperament, be able to speak in front of groups, be an independent worker/self-motivated, play close attention to detail, and regularly travel around town to the associations in your portfolio.


CMCA designation or previous homeowner association board volunteer experience desired.


Key Responsibilities


Association & Board Support

  • Serve as the primary liaison between the Board of Directors, homeowners, vendors, and management company.
  • Attend board meetings and annual membership meetings; prepare agendas, management reports, and meeting minutes when required.
  • Advise the board on best practices, governing documents, policies, and compliance requirements.
  • Implement board decisions and follow up on action items.


Operations & Maintenance

  • Conduct regular property inspections; identify maintenance needs and code violations.
  • Coordinate routine maintenance and large-scale projects (landscaping, pool, roofing, paving, etc.).
  • Maintain community standards by enforcing CC&Rs, rules, and architectural guidelines.
  • Respond to emergencies and coordinate after-hours vendor support as needed.


Financial Oversight

  • Prepare and monitor association budgets with the board and/or finance team.
  • Review financial statements, invoices, reserve studies, and vendor proposals.
  • Approve and code invoices per association policy; ensure timely payments.
  • Assist with collections and delinquency tracking in coordination with accounting.


Homeowner Communication & Service

  • Address homeowner inquiries, concerns, and complaints in a professional and timely manner.
  • Write and distribute community communications (newsletters, notices, violation letters, meeting announcements).
  • Facilitate conflict resolution and promote positive community relations.
  • Support resident engagement and community events when applicable.


Administrative & Compliance

  • Maintain accurate association records, files, and correspondence.
  • Ensure compliance with state HOA laws, fair housing regulations, and association governing documents.
  • Manage architectural requests, hearings, and rule violation processes.
  • Coordinate elections, ballots, and procedural requirements as needed.
