Position Summary:
The Engineering Submittal & Documentation Coordinator is responsible for managing all technical drawing and document submittals from Eastern Shipbuilding Group (ESG) to the client, regulatory bodies (ABS, USCG), and other stakeholders. This role ensures that every package submitted is complete, accurate, and compliant with ESG and project-specific standards. The Coordinator will work closely with discipline engineers, document control, and project management to track submittals, comments, and approvals, ensuring efficient communication and timely follow-up across all engineering functions

Key Responsibilities:
1. Submittal Management
• Track submittal status, review cycles, and due dates for responses, revisions, and approvals.
• Verify proper document control practices, including revision numbers, transmittal forms, drawing titles, and filenames per ESG standards.
• Coordinate with discipline leads (Hull, Piping, Electrical, HVAC, Outfit, etc.) to ensure timely preparation of submittal packages aligned with project milestones and engineering lots

2. Quality Assurance (Pre-Submittal Review)
• Review drawing packages prior to submission for consistency with ESG submittal standards.
• Confirm inclusion of drawing lists, revision blocks, and signature fields.
• Verify correct classification society and client references on title blocks.
• Identify discrepancies or missing information and coordinate resolution before transmittal

3. Comment Tracking & Coordination
• Maintain a comprehensive log of all feedback received from Clients, ABS, and USCG.
• Distribute comments to responsible engineers and track their responses through closure.
• Prepare comment summary reports for coordination meetings with Clients and regulatory bodies

4. Communication & Reporting
• Provide weekly updates to engineering management on submittal progress, pending responses, and upcoming due dates.
• Coordinate with document control to archive all submittals and approvals in the project database.
• Generate concise reports for internal and client-facing meetings, summarizing submittal activity and open items

Qualifications:
• Strong organizational and time-management skills with attention to detail.
• Excellent written and verbal communication skills.
• Proficiency in Microsoft Excel, Word, Outlook, and document tracking systems.
• Familiarity with engineering drawings, documentation workflows, and change control.
• Prior experience in shipbuilding, industrial engineering, or large-scale project environments preferred
