Position Summary

The Front Desk & Administrative Support role is a critical member of our Tax Services team, providing professional client-facing support and essential internal operations assistance in a fast-paced public accounting environment. This position is responsible for managing front-desk reception, assembling and processing tax returns, scanning and organizing documents, supporting software workflows, coordinating with accountants, and maintaining a positive, steady presence with clients—especially during high-pressure tax deadlines.

This is an in-office role requiring excellent communication skills, and the ability to remain calm, assertive, and professional when handling clients. The ideal candidate has meaningful life experience, steady judgment, and the ability to stop, start, and pivot tasks as needed throughout the day.

Key Responsibilities

  • Serve as the primary front-desk contact: greet clients, answer phones, and provide a professional first impression.
  • Assemble, process, and present completed tax returns to clients for review or signature.
  • Scan, organize, and upload documents using firm software (Practice CS, UltraTax, GoFileRoom, and related tools).
  • Assist with running reports and supporting computer-based administrative workflows.
  • Manage incoming and outgoing mail, file management, and general office upkeep.
  • Support accountants by preparing documents, organizing client files, and monitoring deadlines.
  • Maintain professionalism during stressful interactions, including with high-net-worth clients or those experiencing frustration.
  • Adapt quickly to interruptions and shifting priorities throughout the workday.
  • Collaborate with a small office team and assist wherever needed during peak periods.
  • Handle confidential information with discretion and comply with firm policies and procedures.
  • Provide occasional Saturday support and overtime during peak tax deadline periods.

Qualifications

  • 2+ years of professional experience in office support, administrative roles, or customer service; experience in accounting, legal, or medical environments is a plus.
  • Strong emotional maturity and resilience; able to remain steady, assertive, and composed under pressure.
  • Ability to interact professionally with demanding or high-maintenance clients, including attorneys, corporate executives, financial planners, and high-net-worth individuals.
  • Proficiency with Microsoft Outlook required; comfort with Windows-based systems and file-management software strongly preferred.
  • Ability to learn firm tools (Practice CS, UltraTax, GoFileRoom) with provided training.
  • Strong attention to detail, organizational skills, and the ability to follow structured processes.
  • Comfortable with start/stop task flow and frequent interruptions; not reliant on strict multitasking.
  • Dependable, punctual, and willing to support the team during extended hours in tax season.
  • Reliable transportation for training (up to one week in Lancaster) and commute to the Dublin office.

Schedule & Work Environment

  • Monday–Friday, approximately 8:00 a.m. – 5:00 p.m. or 8:30 a.m. – 5:30 p.m.
  • Occasional Saturdays and overtime required during tax deadlines.
  • In-office role only (a few remote training days may be possible).

Compensation

  • $17–$22/hour, depending on experience (higher consideration for candidates with accounting or legal administration backgrounds).
  • Additional overtime available during tax season.
