Job Summary

Under general supervision, the Administrative Clerk provides clerical and customer service support in a medical office or clinic setting. This position is responsible for patient registration, appointment scheduling, records management, vital records services, and assisting patients in accessing appropriate health department services. The ideal candidate is detail-oriented, organized, and able to manage multiple administrative systems while maintaining accurate records and a supportive team environment.

Key Responsibilities

  • Provide courteous customer service and inform patients about health department services for which they may be eligible.
  • Register patients accurately and promptly to maintain efficient clinic operations and minimize wait times.
  • Obtain and verify insurance information, check immunization status, update patient contact details, and identify and prevent duplicate records across applicable systems.
  • Navigate multiple electronic systems to verify patient information and maintain accurate records, following established guidelines, manuals, policies, and standard operating procedures.
  • Process birth and death certificate requests in a timely manner, including reviewing requests, printing certificates, maintaining documentation, and collecting and receipting applicable payments.
  • Maintain the security and accuracy of the cash box by following established cash-handling and segregation-of-duties procedures, reporting discrepancies or concerns to leadership.
  • Scan and index required documents into the electronic records system within 48 hours.
  • Schedule patient appointments in accordance with established clinic booking guidelines.
  • Collaborate with team members to support efficient clinic operations, accurate documentation, and quality customer service.
  • Perform additional clerical and administrative duties as assigned.

Education and Experience Requirements

  • High school diploma or equivalent.
  • Two years of full-time experience in customer service, clerical support, office administration, or a combination of these areas.

Substitution of Experience for Education:

  • Relevant full-time customer service or clerical/office support experience may substitute for the required education on a year-for-year basis.

Substitution of Education for Experience:

  • Coursework completed at an accredited college or university may substitute for the required experience on a year-for-year basis, up to a maximum of two years. For example, 45 quarter hours of college credit may substitute for one year of required experience.
