ACCOUNTS MANAGER

Studio 5, a growing mid-sized (15 to 20 people) Architectural firm in northern New Jersey, is seeking an organized, proactive, and enthusiastic Accounts Manager to assist the partnership in the financial management of our office.
\n

This position is based in-person at our Fair Lawn, NJ office and may range from approximately 25 to 40 hours per week depending on the candidate and workload. Prior experience in accounts management is required, accounts management for an Architectural or Engineering office is a plus!.

DUTIES AND RESPONSIBILITIES

The primary responsibilities for the position will be the day-to-day management of the office accounts receivables and payables including payroll. Some tasks are with the assistance of the Office Administrator.
\n
Accounting and Financial Administration
\n
- \n
- Accounts Payable (AP) and Accounts Receivable (AR)
- Prepare invoices and maintain billing schedules
- 20 to 50 client invoices per month
- General bookkeeping and banking coordination
- Post checks and assist with reconciliations
- Manage employee timesheets and reimbursable expenses
- Prepare payroll, including deductions.
- Assist with 401(k) administration

General Administration
\n
The position includes cross-training responsibilities with our Office Administrator to assist with daily administrative and operational responsibilities. This practice provides coverage when either employee is unavailable.

- Oversee daily office operations, scheduling, office supplies, and vendor coordination
- Provide administrative support to leadership and staff
- Identify inefficiencies and help improve office procedures and workflows
- Serve as a central point for internal communication and coordination
- Maintain HR-related records and operational compliance
- Act as the office EEO manager.
- Supervise administrative staff
- Maintain insurance and corporate records
- Assist with employee onboarding and benefits administration
- Distribute and manage new employee welcome packages
- Marketing and proposal support experience is a plus

EDUCATION AND EXPERIENCE

Education
\n

- Bachelor’s degree in Business Administration, Management, or related field preferred
- Accounting/Bookkeeping training or background required.
- Additional administrative or accounting coursework is a plus

Experience
\n

- Minimum 5 years of Account Management, bookkeeping, or related administrative experience
- Experience in an Architectural or Engineering office preferred

SOFTWARE AND TECHNICAL REQUIREMENTS

- Proficiency in Microsoft Word and Excel
- Experience with CRM systems
- General accounting knowledge including payables, receivables, billing, and general ledger functions
- Experience with Ajera software is a plus
- Proficiency with Microsoft Outlook, email, calendars, and scheduling systems

- Expected range is $65,000 to $75,000 per year.
- Salary commensurate with experience
