Job Summary

The Systems Administrator – Educational Technology role is an integral part of the Development Operations team, ensuring the management and development of key enterprise software and instructional platforms across KIPP DC. The starting salary range for this role is $78,436-$85,256. This is a full-time, fully on-site role based at HDQ with an anticipated start date of Mid-August 2025.

About the team

The DevOps team supports KIPP DC’s data systems and software across the organization, and is responsible for keeping information and access secure and synchronized across platforms. The DevOps team works with other KIPP DC stakeholders to automate key processes and systematically build custom applications.

About the Role

The Systems Administrator – Education Technology plays a vital role on the Development Operations team, ensuring that students and staff have secure, timely, and seamless access to the digital tools that power learning and operations across KIPP DC. This position is uniquely positioned at the intersection of technology and education and is responsible for configuring platforms, managing user access, and maintaining detailed documentation to support instructional goals and enable sustainable software management. The Systems Administrator - Education Technology role reports to the Director of Data Engineering.


Location and Type of Work

This is an exempt position and will report to the Director of Engineering. As a headquarters team that is focused on being responsive to our schools and meeting the needs of our students and families, we approach our work in a way that reflects these priorities. This position will generally work independently and not regularly interface with students, families, or school teams. This position will primarily work from our headquarters office to maintain a connection to their colleagues and foster a sense of cross-functional collaboration. Because of the nature of this position’s work, this role allows for hybrid flexibility and will be required to be onsite 3 days per week.

Responsibilities
The percentages for each key responsibility are estimates, and other duties may be assigned. Flexibility and responsiveness are encouraged to accommodate organizational needs.

Systems Administration & User Access Management (30% of time)
Ensures secure, accurate, and efficient management of user access across enterprise systems to support instructional and operational technology needs.

  • Manage user accounts, groups, roles, and permissions in Okta, Clever, Google Workspace, Zendesk, and other platforms to ensure appropriate access for students and staff.
  • Configure and maintain provisioning rules and identity lifecycles across systems to automate access control and minimize security risks.
  • Collaborate with HR, Tech, Operations, and school teams to onboard/offboard users and support transitions (e.g. new hires, staff exits).
  • Audit system access regularly to maintain compliance with data privacy policies and minimize unnecessary or outdated permissions.
  • Troubleshoot and resolve access-related issues in collaboration with help desk staff and escalate as needed to vendors or team leads.

Platform Configuration & Data Management (30% of time)

Maintains data integrity and optimal configuration of education technology platforms to ensure they support instructional and operational goals.

  • Configure and maintain sustainable system settings and integrations in platforms like Okta, Clever, Google Workspace, Zendesk, and others based on organizational needs.
  • Set up and maintain sharing rules in Clever and Okta to ensure students are enrolled in the correct programs and classes and staff have access to the appropriate and relevant platforms.
  • Coordinate with academic and technology leadership to understand evolving program needs and translate them into system configurations.
  • Communicate with vendors to resolve data discrepancies and other configuration misalignments.
  • Validate data flows across platforms, working closely with other DevOps team members to ensure information is accurate, timely, and aligned.
  • Implement best practices and ensure consistency in naming conventions and user group hierarchies.
  • Support special initiatives (e.g., summer programs, testing platforms, or pilots) through thoughtful system setup and data alignment.

Technical Support & Troubleshooting (20% of time)

Responds to technical issues and provides Tier 2 support related to system access and functionality.

  • Respond to help desk tickets related to software access, login issues, and account provisioning with clear communication and timely resolution.
  • Escalate complex issues appropriately while tracking resolution progress to maintain accountability and user satisfaction.
  • Analyze recurring issues and recommend process improvements, training, or system changes to reduce future support needs.
  • Partner with Tier 1 help desk staff to share expertise, offer guidance, and improve team troubleshooting efficiency.
  • Track support requests and resolutions in Zendesk to identify trends and guide future system improvements or training.

Documentation & Process Standardization (10% of time)

Drives clarity, consistency, and sustainability in system operations through high-quality documentation and process improvement.

  • Create and maintain detailed technical documentation of system configurations, workflows, data rules, and access protocols, as well as user-friendly documentation and knowledge base articles to empower staff and reduce support burden.
  • Standardize procedures and protocols for common tasks to ensure consistency, reduce errors, and support cross-training.
  • Review and update documentation regularly to reflect system changes, organizational policy updates, or newly adopted tools.
  • Lead internal reviews of system processes to identify inefficiencies, propose improvements, and implement changes.

Cross-Team Collaboration & Project Support (10% of time)
Supports broader organizational goals by collaborating with cross-functional teams and contributing to key EdTech initiatives.

  • Participate in cross-functional planning meetings with Academic and Information team stakeholders to align system configurations with instructional goals.
  • Contribute to the evaluation, onboarding, and rollout of new software platforms by advising on access management and integration feasibility.
  • Communicate clearly with internal stakeholders about system updates, outages, and changes to access protocols.
  • Support organization-wide initiatives (e.g. summer, beginning-of-year, testing) by ensuring access and systems are aligned to operational plans.


Requirements & Preferences

Required Qualifications

  • Bachelor’s degree
  • Minimum 3 years of cloud systems administration experience with enterprise software like Okta, Google Workspace, and/or Clever.
  • Minimum 1 year of experience with help desk ticketing software

Preferred Qualifications

  • Experience with the above in a K-12 school district environment
  • Experience with education-specific information systems such as PowerSchool
  • Experience with the following devices: Chromebooks, iPads, and MacBooks
  • Exhibits a professional demeanor and strong customer service and communication skills
