Position Summary: The Assistant Residential Property Manager serves as the primary support to the Residential Property Manager (RPM) and is responsible for the professional management of leasing, customer service, and daily operations across assigned residential properties. This role requires regular interaction with employees, contractors, residents, and leadership to ensure that property goals are met efficiently, economically, and with a high level of professionalism.
Primary Responsibilities:
Leasing & Resident Relations
- Coordinate all aspects of pre-leasing, leasing, and lease renewals.
- Show apartments to prospective tenants, explain lease terms, and collect deposits.
- Prepare leases and related documentation accurately and thoroughly.
- Process rental applications, including employment and landlord verifications.
- Pull credit reports and assess application materials.
- Respond to leasing inquiries by phone and email; follow up consistently.
- Meet with residents for inspections, lease discussions, and resolution of issues.
- Communicate regularly with residents to address concerns, complaints, or inquiries, ensuring consistent follow-through.
Operations & Administration
- Coordinate lease processing and documentation with the Accounting team.
- Manage parking passes, special permits, and apartment keys.
- Assist with coding of invoices as directed by the RPM.
- Maintain and update tenant rosters, lists, and records.
- Schedule and oversee apartment turnovers in collaboration with maintenance and vendors.
- Take and catalog apartment photos for marketing and internal records.
- Ensure consistent office coverage and perform daily walkthroughs of the property to monitor overall condition, cleanliness, and upkeep.
Customer Service & Marketing
- Partner with the Customer Service and Marketing teams to manage rental listings (e.g., Zillow, Craigslist, For Rent signs).
- Represent Chinburg Management at community events, business association meetings, and chamber functions as requested by the RPM.
Maintenance Coordination
- Manage and facilitate work orders, coordinating between tenants and maintenance staff.
- Track and support capital improvement projects and property upgrades.
- Assist in implementing efficient initiatives and identifying cost-saving opportunities.
Financial & Reporting
- Collaborate with the RPM and Accounting to reconcile tenant accounts.
- Ensure timely and accurate processing of security deposit returns.
Additional Responsibilities
- Maintain knowledge of the full Chinburg Management, LLC property portfolio.
- Support the RPM on special projects as assigned.
- Availability for evening and weekend hours as needed.
- Perform other duties as assigned.
Knowledge, Skills and Abilities:
- Excellent computer knowledge with proficiency in MS Office suite (especially Word, Excel, and Outlook) and other accounting/financial management applications/platforms.
- Excellent written and verbal communication skills.
- Demonstrates a high sense of urgency with the completion of tasks.
- Superb attention to detail completing assigned tasks within identified time frames delivering a quality, accurate work product.
- Ability to work independently as well as collaboratively with team members. Highly organized, dependable and detail-oriented.
- Adept at learning new skills.
- Fluent in using standard office equipment.
- Solid understanding of marketing and sales processes with the ability to deliver information effectively.
- Candidate must be a very competent speaker with the ability to interpret various documents and conversations quickly and effectively via multiple means of communication.
- Must be able to meet the demands and pressures of property management under various conditions.
