Position Overview
Bauman Machine Inc. is seeking a dependable and detail-oriented Office/Accounting Coordinator to support our daily accounting, administrative, customer-service, and shipping activities.
This position is an important part of our manufacturing operation and works closely with the President, Production, Quality, customers, suppliers, and freight carriers. The ideal candidate is organized, professional, accurate, and comfortable managing several priorities in a fast-paced environment.
Primary Responsibilities
- Prepare customer invoices and supporting documentation.
- Post and apply customer payments.
- Maintain customer account records and assist with past-due account follow-up.
- Enter vendor invoices and match them to purchase orders, receiving records, and approvals.
- Prepare accounts-payable documentation and payments for approval.
- Reconcile customer and supplier statements.
- Maintain accurate customer, supplier, order, and administrative information in JobBoss ERP System.
- Prepare packing slips, shipping labels, bills of lading, and other shipping documents.
- Schedule parcel, LTL, and expedited freight.
- Communicate shipment and tracking information to customers and internal personnel.
- Answer and direct telephone calls and greet visitors professionally.
- Prepare correspondence, reports, forms, spreadsheets, and other business documents.
- Maintain organized electronic and hard-copy records.
- Assist with document control, record retention, internal audits, and quality-system activities.
- Protect confidential company, customer, supplier, financial, and employee information.
Minimum Qualifications
- High school diploma or equivalent.
- Two to three years of relevant office, administrative, customer-service, or accounting-support experience.
- One to two years of accounts-receivable and/or accounts-payable experience.
- Proficiency with Microsoft Outlook, Word, and Excel.
- Accurate data-entry and basic business-math skills.
- Strong organizational, communication, and follow-through skills.
- Ability to manage competing priorities while maintaining accuracy and confidentiality.
Preferred Qualifications
- Experience with a manufacturing ERP system.
- Experience preparing shipping documents and scheduling parcel or LTL freight.
- Experience working in a manufacturing, machining, or quality-managed environment.
- Working knowledge of MS Excel, Word and Outlook.

Work Environment
This position is primarily performed in an office setting but does require occasional entry into manufacturing and shipping areas.
