About the Role
The role involves overall project scheduling, team meeting scheduling, task assignments with deadlines, and progress reports. Overall project management should occur in Microsoft Planner, allowing actions to be centrally assigned and progress to be shared through the project plan.
Responsibilities
- Scheduling: overall project scheduling, team meeting scheduling, task assignments with deadlines, progress reports.
- Minutes/Notes: keep notes of project meetings, including attendees, subjects discussed, decisions reached, and action items assigned (with due dates); share them within Microsoft Teams Channel dedicated to each project.
- Action Item Follow Up/ Task Close Out: intervening with reminders to ensure tasks are completed.
- Escalation: communicate 'stuck' activities to manager and Legal Leadership if risks to schedule appear.
- Status Reports: providing weekly progress reports on activities completed and whether each project remains on schedule. Includes overall status reports (roll-ups) for your manager and Legal Leadership, and individual status reports for the project teams.
- Project Communications: generally:
- Microsoft Teams: the content for these projects will be managed in Microsoft Teams channels; light communication can be hosted in the channel chats and/or via email.
- Microsoft Planner: the schedules will be managed through Planner, which can be posted to Teams.
- Outlook: meetings will be scheduled through Microsoft Outlook, special ticketing requirements through JSM may be required to schedule certain larger training rooms.
- Outlook: Status Reports and other content for Legal Leadership will be distributed by email copy, with links to the main content for reference.

Qualifications
- Education: No specific degree requirement.
- Number of years of experience: 5+ years required.
- Software knowledge/requirements: Microsoft Office, plus Microsoft Planner or similar project management/scheduling software required.
- Industry background: Previous experience in Law Firms or Legal Departments preferred; Life Sciences experience desirable.
- Certifications: Project Management Professional (PMP) or Certified Associate in Project Management (CAPM).
Required Skills
- Proficiency in Microsoft Office and Microsoft Planner or similar project management/scheduling software.
- Strong organizational and communication skills.
- Ability to manage multiple projects and deadlines.
Preferred Skills
- Experience in Law Firms or Legal Departments.
- Life Sciences industry experience.
- Project Management Professional (PMP) or Certified Associate in Project Management (CAPM) certification.
