Job Title: Community Association Manager
Background: The Preserve at Walnut Springs (PWS) is a 2,000-acre residential development with 66 residential lots and 1,500 acres of shared open space. The HOA manages a longhorn herd, trail-ride horses, and an equestrian program for privately boarded horses. Amenities include a clubhouse, pools, tennis courts, an equestrian barn, arenas, trails, and recreation areas. Learn more at our website, http://www.walnut-springs.com
Job Duties: The community association manager works under the direct supervision of the HOA Board President and serves as the primary point of contact for HOA members. This is a salary position, Monday Friday, with flexible in-person and remote work opportunities.
Specific Tasks:
HOA Community Coordinator-
- Serve as the primary point of contact for HOA members
- Manage reservations and property services
- Post events and announcements in the PWS Newsletter and TownSquare
HOA Secretary-
- Serve as HOA Secretary of the Board of Directors
- Host zoom calls for HOA Board and Annual meetings and distribute meeting notices
- Assist the HOA Board in preparation of Board meeting agendas and meeting minutes
Financial & Asset Management -
- Coordinate with Treasurer and contracted accounting service
- Submit monthly charge sheets and debit card expense coding to HOA Manager
- Approve invoices to be paid
- Issue payments under Board approval
- Process payroll and ensure governmental employment filings are up to date
- Review insurance policies on an annual basis
- Maintain records on property and assets (land, buildings, vehicles & equipment)
- Maintain vehicle registration and insurance - including driver coverage
Clubhouse and Entrance Area Management -
- Maintain an active presence at the Clubhouse to create a hospitable atmosphere
- Working with contract and PWS staff, improve the aesthetics and maintain the needs of the community entrance areas, kitchen, bathrooms, pool area, and adjacent landscape
- Be available for in-person visits during the week
- Clubhouse pool service and janitorial coordination
- Owner package delivery notification
Workplace Management -
- Maintain a positive working environment for employees
- Manage employee database and process payroll through ADP
- Be familiar with and implement guidelines in PWS Employee Handbook
- Update job descriptions and positings on ADP and process incoming applications
- Manage onboarding process for new employees
- Advise HOA Board on employee performance
- Process terminations and confidential records
Software and Techical Support -
- Maintain updated software and computer systems
- Administer Google Drive (HOA Documents and walnut-springs.com emails)
- Microsoft Excel or Google Sheets spreadsheet development
- General technical support for HOA members needing help with TownSq
- Update website as needed on GoDaddy and Wordpress
Employment details:
Starting pay 65K, negotiable based upon experience
Full time, flexible in-person and remote work
12 days PTO per year
Bonus based upon performance
Starting work date: September 5, 2025
