Legal Secretary Role Overview

Seeking a highly organized and detail-oriented Legal Secretary to support attorneys and paralegals in a fast-paced litigation environment. The role involves managing legal documentation, coordinating schedules, and ensuring smooth administrative operations within the legal team.

Key Responsibilities and Duties

  • Document Preparation: Draft, proofread, and edit legal documents, including summonses, complaints, motions, subpoenas, and briefs, ensuring compliance with legal requirements.
  • Case File Management: Organize and maintain physical and digital case files, including opening, closing, and updating files.
  • Calendar Management: Schedule appointments, hearings, trials, and meetings, ensuring all deadlines are recorded in the docketing system.
  • Client Communication: Serve as a primary point of contact for clients, answering phones, responding to emails, and handling inquiries with discretion.
  • Office Administration: Manage office tasks, including entering and posting attorney time entries, scanning, photocopying, faxing, and arranging couriers.
  • Professional Liaison: Coordinate with court officials, attorneys, and other professionals to ensure smooth operations.

Required Skills and Qualifications

  • Legal Knowledge: Understanding of legal terminology, documentation, and court procedures.
  • Technical Proficiency: Strong skills in Microsoft Office (Word, Outlook, Excel) and case management software.
  • Organizational Skills: Detail-oriented professional with exceptional multitasking abilities and a proactive, critical approach to file management.
  • Communication: Strong verbal and written communication skills for professional interaction.

Education and Experience

  • Experience: 1–3 years of experience in a law firm or legal department is often required.
