We are searching for a medical receptionist that will be responsible for ensuring the efficient and smooth operation of our front desk and reception area. They will play a vital role in providing excellent customer service and ensuring that patients and visitors have a positive experience.

The ideal candidate must be willing to travel to our office in Nottingham, MD as well as our office in Hunt Valley, MD.

Key Responsibilities:

  1. Greeting and Welcoming Patients: Provide a warm and friendly welcome to patients and visitors, making them feel comfortable and valued.

  2. Appointment Scheduling: Schedule patient appointments, both in person and over the phone, using the facility's scheduling software. Ensure appointments are spaced appropriately and that the schedule accommodates urgent cases.

  3. Clinic Flow: Room patients, clean treatment rooms, stock treatment rooms, rotate laundry.

  4. Patient Registration: Collect and update patient information, including personal details, insurance information, and medical history. Ensure all records are accurate and up to date.

  5. Answering Phone Calls: Manage a high volume of phone calls, addressing inquiries, providing information, and forwarding calls to the appropriate department or healthcare provider.

  6. Check-In and Check-Out: Assist patients with the check-in process, ensuring they complete necessary paperwork. Facilitate the check-out process, collect co-payments or fees, and provide next appointment details.

  7. Maintaining Reception Area: Keep the reception area clean and organized. Ensure that reading materials, brochures, and necessary forms are readily available for patients.

  8. Handling Medical Records: Safeguard patient confidentiality by handling medical records and information in accordance with privacy regulations, such as HIPAA.

  9. Patient Communication: Notify patients of appointment reminders and changes, test results, and other important information via phone, email, or mail.

  10. Conflict Resolution: Address patient concerns, complaints, or issues promptly and professionally. Escalate matters to the appropriate staff or supervisor as needed.

  11. Coordination: Collaborate with other medical staff to ensure the smooth flow of patient care, including facilitating referrals and coordinating with nurses, doctors, and other healthcare providers.

Qualifications:

  • High school diploma or equivalent.
  • Ability to problem solve/troubleshoot.
  • Previous experience in a healthcare or medical office setting is preferred.
  • Proficiency with computer software, including scheduling and electronic health record (EHR) systems.
  • Strong communication and interpersonal skills.
  • Knowledge of medical terminology is an advantage.
  • Excellent organizational and time-management skills.
  • Attention to detail and the ability to work in a fast-paced environment.
  • Knowledge of healthcare privacy regulations, such as HIPAA.
