JOB SUMMARY
The Leasing Operations & Support Specialist provides operational, administrative, and client support for leasing products and services at MidCountry Bank, ensuring that all documenting, booking, funding, and servicing tasks are completed in adherence to bank policies and procedures or special requirements as dictated by approval authority. This role also serves as a cross-trained backup to the Business Banking Specialist (BBS), assisting with business banking tasks, administration and support as needed to ensure continuity of service and seamless client experience.
JOB RESPONSIBILITIES
1. Documenting: Prepare lease documentation that matches the approved customer request.
Pre-Closing
- Work with team to draft correspondence, letters and forms
- Create customer files, following a consistent approach
- Collaborate with lenders in contacting customers to gather items needed to prepare a complete leasing application
- Gather required due diligence information needed for the lease approval process
- Order any necessary third-party reports or searches and communicate appropriately with the Credit department
- Submit all pertinent application information to the Credit department
- During the underwriting and pre-closing phase, collaborate with lenders, Credit department, and customers to clear underwriting exceptions by correcting errors, gathering missing information, etc.
- Review, manage and complete steps in the lease underwriting platform (Abrigo, IFS, Leaseworks) for assigned lenders
- Create standard and complex documents necessary to meet Credit Policy, Regulatory and Compliance, legal and procedural requirements for new leases, modifications, refinances, extensions, renewals, change in terms, and subordinations within established SLAs
- Review and submission of loan documentation requests to Loan Operations with a high level of accuracy
- Serve as liaison between lender and customer to coordinate and schedule lease closings, including engaging other parties as needed and attending closings when necessary
Post-Closing
- Submit closed lease packages to Loan Operations for Booking into lease software, providing additional assistance as needed on the more complex transactions to ensure accurate boarding
- Work with customers and lenders to initiate and process funding requests and wire transfers to customer bank accounts.
- Follow up with lenders and customers on any outstanding items
- Create and process ticklers and covenants
- Resolve Quality Control issues and correct document deficiencies with lenders as needed
- Obtain lease payoffs for customers and perform paid lease file processing steps
- Follow up as needed with needed parties to obtain perfected collateral documents in a timely manner.
- Image all loan documents and financial information into the appropriate software
2. Servicing: Receive change requests from internal and external customers, identify changes necessary within existing portfolio, and process changes through the applicable processes. Provide professional, timely and courteous service to all customers.
- Oversee vendor payments, cash management, lease processing, account reconciliations and accruals
- Prepare and distribute invoices for new leases as well as existing leases
- Process lease terminations and prepare proper lien release/satisfaction forms within regulatory guidelines on all paid leases, including customer notifications
- Process administrative service requests accurately to maintain customer and account information records within established time frames
- Assist in clearing ticklers (including past due financial information), post-closing exceptions, and trailing documents ticklers, covenant ticklers, and performs other monitoring as needed
- Process insurance by overseeing tracking of insurance for lease collateral, verifying renewal policies for adequate insurance coverage, updating insurance ticklers as renewal policies are received, conducting appropriate follow up on coverage
- Perform file maintenance in an accurate and timely manner to maintain integrity of lease data on system
- Administer payoff quotes and payoff transactions
- Prepare past due notices, notices of sale, default notices
- Internal Forms
- Risk Rating Upgrades/Downgrades
- Impairments / Charge offs / ORA Transfers
- Facilitate the Leasing Personal Property and Sales Tax Process
- Participate in the processes related to lease charge offs and repossessions, including the disposition of such repossessed assets.
3. Reviewing:
- Manage and maintain appropriate policies and procedures related to leasing operations
- Complete a file review of all closed leases by reviewing the documents to ensure they were properly executed, ensure all documents are imaged in Director and all original critical documents are held in the vault, and any errors are resolved in a timely manner
- Assess accuracy of boarded information and system maintenance by comparing newly boarded leases against the signed documents
- Review lease account maintenance requests completed by Lending Operations, ensuring any errors are resolved in a timely manner
- Provide support to Loan Operations and Lenders by partnering with department managers to provide training, being a resource to Lending Operations, identifying and analyzing trends to determine process improvements
4. General Support
- To ensure superior customer service, service customers by addressing complex questions and resolving issues by seeking to identify its cause and work collaboratively with the relevant bank partners
- Provide back-up support to other team members, to include cross-training with the Business Banking Specialist team
- Perform ongoing loan maintenance and monitoring, complying with established MCB credit policy and procedures and legal and regulatory requirements
- Represent bank at various community activities as needed
JOB REQUIREMENTS
Education-
- Preferred: Bachelor’s Degree
Experience-
- Required: 2+ years of experience in banking, leasing operations and/or financial services
SCHEDULE
This position is scheduled to work 40 hours per week from 8:30 am to 5 :00 pm. The Company reserves the right to change the schedule as required for business needs.
