The Position

The Facility Assistant II plays a crucial role in supporting the efficient operation and maintenance of a facility. This position requires a combination of administrative, technical, and customer service skills to ensure a safe, clean, and functional environment for staff, visitors, and occupants. The Facility Assistant II assists with various facility-related tasks, including maintenance coordination, inventory management, administrative support, and customer service.

Responsibilities

  • Assist in coordinating facility maintenance activities, including scheduling repairs, inspections, and preventive maintenance tasks. Collaborate with external contractors and vendors to ensure timely completion of work orders. Track and document maintenance activities and update maintenance records accordingly.
  • Maintain accurate records of facility-related inventory, including supplies, equipment, and materials. Monitor inventory levels, reorder as necessary, and ensure stock availability for routine operations. Assist with inventory audits, reconciliations, and disposal processes. Coordinate equipment servicing and calibration.
  • Provide administrative assistance to the facility management team, including scheduling meetings, managing calendars, and preparing reports and presentations. Assist with budget tracking, expense reconciliation, and invoice processing. Maintain documentation, including contracts, permits, and certificates. Prepare and distribute facility-related communications and announcements.
  • Serve as a point of contact for facility-related inquiries, requests, and issues. Respond promptly and professionally to internal and external stakeholders, addressing their needs or directing them to the appropriate resource. Ensure a positive customer service experience and handle complaints or concerns effectively.
  • Support the implementation of safety and security protocols to maintain a safe working environment. Assist in conducting safety inspections and maintaining safety records. Monitor access control systems, CCTV cameras, and alarm systems. Assist with emergency preparedness plans and procedures.
  • Assist with facility-related projects, such as renovations, relocations, or space planning initiatives. Coordinate logistics, gather and organize project documentation, and provide support during project implementation. Collaborate with project teams and contractors to ensure project objectives are met within established timelines.

Requirements and Skills

  • High school diploma or equivalent; additional vocational training or certifications in facility management or related fields is a plus.
  • Proven experience in a similar role, preferably in a corporate or commercial environment.
  • Knowledge of facility management principles and best practices.
  • Excellent organizational and time management skills, with the ability to multitask and prioritize tasks effectively.
  • Strong attention to detail and problem-solving abilities.
  • Proficiency in using computer applications, including MS Office Suite (Word, Excel, Outlook).
  • Good communication skills, both verbal and written.
  • Ability to work independently and collaboratively in a team environment.
  • Flexibility to adapt to changing priorities and handle occasional after-hours or weekend work as needed.
  • Knowledge of safety and security protocols is desirable.
  • Physical fitness to perform tasks that may involve lifting, moving heavy objects, or standing for extended periods.

Working Conditions/ Physical Activity:

  • The employee often must stand, walk, use hands to finger, handle or feel and reach with arms.
  • The employee must occasionally sit, climb, or balance, stoop, kneel, crouch or crawl.
  • The employee must be able to lift/move up to 10 pounds and occasionally up to 25 pounds.
  • Visual abilities needed include close vision, distance, color, and peripheral vision.
