Job DescriptionWe are looking for a detail-oriented Legal Secretary to provide comprehensive administrative support to attorneys specializing in transactional and litigation matters. This role requires excellent organizational skills, confidentiality, and the ability to work collaboratively in a fast-paced legal environment. The ideal candidate will excel at managing legal documentation, coordinating schedules, and ensuring smooth day-to-day operations within the firm.
Responsibilities:
• Draft legal documents such as briefs, motions, subpoenas, and summonses based on templates and attorney input.
• Organize and file multi-document submissions to state and federal courts, ensuring compliance with filing requirements.
• Maintain and update case information, including deadlines and reminders, using the Court Alert system.
• Assemble trial notebooks, binders, exhibits, and other case-related documentation.
• Open new client and matter files, conduct conflict checks, and collaborate with the New Business Intake team.
• Manage document storage and organization within the firm's document management system.
• Proofread legal documents for grammar, punctuation, and formatting consistency before submission.
• Coordinate scheduling for meetings and conferences, including video conferencing and preparation of materials.
• Assist attorneys with billing processes, including time entry and preparation of billing memos.
• Arrange travel accommodations and process expense reports for attorneys as needed.
Knowledge, Skills, and Abilities Required
- Education:
- Bachelor's degree preferred.
- Experience:
- 3-5 years of transactional and litigation experience required.
- Mid-to-large size law firm experience preferred.
- Technical Proficiency:
- Proficient in Microsoft Office Suite (Outlook, Word, Excel).
- Familiarity with document management systems (NetDocs).
- Knowledge of billing software (Carpe Diem) and expense software (Chrome River).
- Solid experience with ECF and Texas state e-filing systems.
- Knowledge Base:
- Familiar with state and federal rules and procedures.
- Document Preparation Skills:
- Ability to create complex documents using advanced word processing features (e.g., styles, section formatting, merge, tables, redlining, cross-referencing, indices, table of contents, and table of authorities).
