Job Description
o Setting up/cleaning the conference rooms for meetings (internal/external)
o Contacting clients to schedule and confirm meetings as necessary
o Assisting with the year-end client letter mailing
o Assisting with preparation of client events if needed
o Daily scanning of advisor’s client notes
o Assisting with preparation of firm's year end meeting
o Data entry in our CRM and Constant Contact
o Organizes & maintains office kitchen at beginning & end of day
o Managing all incoming phone calls, on multi-line phone system, promptly and professionally to maintain their high level of satisfaction (“delight”)
o Calendaring for a multi-advisor office which include complex schedules
o Sorting & distributing daily mail and fax
o Attend all team meetings & retreats, including the annual planning summit
o Ordering office & kitchen supplies
o Planning, ordering & picking up of all internal and event meals
o Assisting the Client Relations Associates and Dir of Operations with various tasks
o Assist Operations in maintenance of all office equipment ie copier, postage machine
o Serve as a back-up for all members in your department
o Assisting with the preparation details of Advisory Board meetings
o Implementing a Plan of Work annually, and/or if your position evolves
