The Payroll Supervisor leads end-to-end payroll operations for client companies, ensuring accuracy, compliance, and timely delivery. This role also manages and develops payroll teams, holding accountability for the performance, growth, and success of each team member.
Responsibilities:
- Review and audit initialized payrolls, identifying and correcting discrepancies to ensure accuracy prior to client invoice delivery
- Address client report requests and provide guidance and direction to Payroll Specialists in client interactions
- Supervise, assign, and manage team workloads, ensuring tasks are completed accurately and efficiently
- Review and approve team PTO requests to maintain adequate coverage based on business needs
- Partner with the Payroll Manager to establish departmental goals, drive process improvements, and support employee engagement initiatives
· Train newly onboarded hires on payroll processes, systems, and departmental procedures
· Establish ongoing training initiatives to equip payroll specialists with the knowledge needed to consistently meet compliance standards
- Utilize systems such as PrismHR, Salesforce and AlphaTime to resolve client concerns and system-related issues while ensuring compliance with company policies
- Build and maintain strong relationships with internal teams and external clients, fostering cross-departmental collaboration
- Support talent management efforts, including hiring recommendations, performance evaluations, compensation changes, promotions, and disciplinary actions
- Promote a positive team environment through mentorship, coaching, and employee development initiatives
· Coordinate with Payroll Specialists to lead client calls, ensuring concerns are addressed effectively and client expectations are consistently met.
- Stay current on all PrismHR payroll platform updates and enhancements through monthly Prism testing
- Create and maintain customized client General Ledgers aligned with their chart of accounts
- Escalate unprocessed payrolls and potential client issues to senior leadership as needed
- Collaborate with the Tax department quarterly to confirm payroll completion and ensure accurate, timely tax filings
- Update existing pay and deduction codes to meet client needs
- Provide support to payroll specialists in the setup and maintenance of client-sponsored retirement and benefit plans
Qualifications:
- 5+ years of experience in payroll processing within a PEO environment
- Minimum of 3 years of supervisory experience in PEO payroll operations
- Subject matter expert in PrismHR, particularly payroll functionality, preferred
- In-depth knowledge of multi-state payroll, wage and hour laws, and applicable tax regulations
- Solid understanding of payroll components, including tax withholdings, Section 125 benefits, contributions, and garnishments
- Exceptional attention to detail, with the ability to manage high-volume payrolls accurately
- Strong analytical and problem-solving skills, with a proactive approach to identifying and resolving issues
- Proven client-facing experience, with excellent communication and relationship management abilities
- Demonstrated ability to handle sensitive and confidential information with a high level of discretion
Work Environment
This position is primarily office-based, with work performed on a computer in either a corporate office or a remote home office setting. The role may require using telephones, participating in virtual or in-person meetings, attending company events, and completing training sessions.
