JOB DISCRIPTION

The Site Administrative Assistant provides essential clerical and administrative support to ensure the efficient operation of the project site office. This role supports the project team, subcontractors, and customers by managing documentation, coordinating communication, and ensuring adherence to company policies and safety procedures.


  • Location: TMMI, Princeton Indiana
  • Start Date: mid-Aug 2025
  • Duration: Approximately through April 2026. depending on project status
  • Daily Schedule: 7am-4pm Mon-Fri


JOB RESPONSIBILITIES

  • Maintain all required documents in the project books
  • Process expense invoices for approval & send to Troy office
  • Send, receive, and distribute mail and overnight deliveries
  • Assist new hires in completing the required paperwork and review for completeness.
  • Compile time records and enter into ADP system for payroll processing, including expense reports
  • Answer phones/ greet customers, subcontractors and suppliers
  • Assist project team in typing correspondence, faxing and receiving
  • Understand and follow our ISO 9001:2000 Corporate Quality Manual and Procedures.
  • Perform all duties in compliance with the TKS and customer's Safety Programs
  • Ensure subcontractor daily reports are completed on time
  • Maintain good relations with customers
  • Maintain Project Labor Agreement (PLA) documentation
  • Order office trailer support material when needed (paper, Pens, water, toiletries, Ect).


TECHNICAL SKILLS & KNOWLEDGE

  • Intermediate level mastery of the following applications: Intranet, Excel, Outlook, Word, Adobe Reader Winzip
  • Experience with ADP Workforce Now or other electronic timekeeping system prefered.
