Facilities Manager

Job summary

DC Bilingual Public Charter School is recruiting a Facilities Manager to oversee all building infrastructure and external contractors that support building operations. The staff member must maintain strict confidentiality, poise, and professionalism in practice and decision-making to interact confidently with the DCB community and vendors, handle phone and written correspondence.

The Facilities Manager is the person who oversees the day-to-day building operations of the school and manages and coordinates all maintenance, security, and facilities contractors and projects. DCB seeks motivated staff committed to the school’s mission and will bring professionalism, urgency, attention to detail, problem-solving skills, and dedication to the school environment. All staff must work collaboratively within our professional learning community (PLC).

Primary Responsibilities: The below statements are intended to describe the general nature and scope of work being performed in this position. It is not, however, a complete listing of all responsibilities, duties, and/or skills required. Other duties may be assigned.

Facilities & Grounds

  • Serve as the key contact for and manage contracted janitorial staff and provide feedback and support as necessary.
  • Strategically plan how to effectively utilize contracted janitorial staff and facilities vendors to ensure the school is consistently clean, safe, and operational.
  • Establish, track progress, and meet or exceed goals and deadlines for the janitorial staff.
  • Ensure grounds are maintained by emptying outdoor trash, removing litter and debris, and removing snow and ice from walkways, entry/exit points, and steps.
  • Effectively respond to and resolve urgent/emergent issues related to janitorial and facilities issues, even during non-school hours.
  • Ensure day and evening janitorial supervisors perform daily checks including clean bathrooms, classrooms, offices, shared spaces, and outdoor spaces, including trash collection, sweeping and mopping, and dusting and cleaning surfaces.
  • Oversee the coordination of and support maintenance contractors and vendors to monitor extermination, plumbing, appliance maintenance, electrical and other services as needed.
  • Maintain current knowledge of DCB’s safety and building maintenance and plan, ensure the school’s adherence and compliance, and serve as a staff resource.
  • Review utility consumption and strive to minimize costs, and implement best practice processes to increase efficiency.
  • Work with the Office Manager to direct and streamline communication about facilities needs, issues, and emergencies to the facilities team.
  • Manage facilities/maintenance requests, including daily review, timely completion, consistent follow-through and follow-up, and quality control efforts.
  • Strive to become an expert on the DCB campus, including plumbing, electricity, water, flooring, gas, etc.
  • Complete daily and weekly campus assessments based on the campus assessment rubric ensuring compliance with all local, state, and federal regulations and safety and security of the DCB community
  • Ensure that the school backlot is organized, with the proper signage, and make sure staff, visitors, contractors and all drivers are following the back parking lot policy.
  • Manage the staff lottery parking for each term.
  • Monitor the usage of all caregiver lots and staff lot.

Business Operations

  • Manage and develop clear and efficient systems of operation through procedures, protocols, and policies for facilities, campus grounds, security, and building maintenance.
  • Manage the dismissal process and support with arrival/dismissal procedures and management as needed.
  • Lead and support all operational aspects of all school events, serving in a leadership role for all non-academically led events & a supporting role in any academic-led events including but not limited to Picture Day, Book-O-Ween, Expos, etc.
  • Develop, train staff, and enforce crisis management response protocols and the proper use of two-way radio communication.
  • Manage all school access and security materials: fobs, walkies, keys, etc.

Business Administration

  • Complete CPR/First Aid training and be confident and ready to render aid when needed.
  • Oversee Facilities Space process, including request system, set up, coordination with IT, communication with external organizations/individuals, and serving as backup for IT setup when necessary.
  • Manage Anybill billing and payment processing related to any building operations needs.
  • Other
  • Serve as the point of contact for the DC Fire Marshal, including fire drill reporting, fire code compliance, response to requests and findings, etc.
  • May serve as crossing guard support in the absence of the school crossing guard
  • Oversee and closely monitor any safety-related incidents at the school and ensure the collection and submission of all school-based incident reports
  • In collaboration with other school leavers, oversee and closely monitor relationships with any safety and emergency responders, such as local police officers, fire department officials, and/or child & family service representatives, who may need to interact with the school
  • Keep Supervisor, Co-Principals and Chief Executive Officer informed of any major facility issues that may impact instruction and/or daily operations as needed
  • Other duties as assigned (Further duties and responsibilities may be assigned based on the needs and goals of DCB.)

Requirements

  • Education: High school diploma is acceptable. A bachelor's degree from an accredited college is preferred, along with two years of experience in project, facilities, and/or building operations management (preferably in an urban or culturally diverse setting); or 3 years of relevant experience in facilities and/or building operations management, education administration, and/or project management.
  • Experience with and knowledge of Microsoft Office and Google Suite programs.
  • Bilingual in Spanish (written and verbal) required
  • Knowledge and experience in safely operating various tools, machinery, and power equipment used in performing essential functions.
  • Basic knowledge of building codes and construction and architecture terminology.
  • Maintain the ability to satisfy all physical demands: significant lifting, carrying, pushing, and/or pulling up to 50 pounds; frequent stooping,
  • kneeling, crouching, and/or crawling; reaching above shoulder level; fine finger dexterity.
  • Excellent interpersonal and communication skills demonstrated ability to work with a diverse population, and commitment to continuous quality improvement and customer service are required.
  • Demonstrate dedication to the Professional Learning Community (PLC) by supporting school-wide initiatives and programs.

Schedule & Attendance: Monday-Friday, 8am-4pm.

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 10 pounds at times.
