IT Systems Manager


Reports to: Chief Executive Officer


Summary/objective

The Systems Manager is responsible for overseeing enterprise IT service management and service delivery practices, leading cybersecurity, and functioning as IT’s senior staff member—ensuring coordinated planning, budgeting, and execution across all technology functions. The IT System manager will provide a strong focus on Microsoft technologies ensuring the smooth operation, security, and maintenance of our IT systems, with an emphasis on Microsoft 365, Microsoft Defender, InTune, and resources in Microsoft Azure. Additionally, the IT System manager will provide support for business processes through designing basic solutions using the systems and tools in house. As a key member of our team, the IT System Manager will also serve as Tier 4 support for escalated issues from our managed services provider and assist in the administration of various business platforms, including ERP, Payroll, and EMR systems.


Essential Functions

Vendor Management & Support

  • Manage relationships with external vendors and technology partners, negotiating contracts and ensuring the delivery of services that meet organizational needs and standards.
  • Oversee and validate vendor solutions such as EDR, AV, and MDM solutions.
  • Manage vendor KPI’s and metrics and hold vendor(s) accountable to service delivery expectations.

Service Delivery and Management

  • Oversee IT service management across the organization, ensuring alignment with best practices and frameworks such as ITIL.
  • Actively drive continuous improvement of service delivery, support processes, and end-user experience.
  • Maintain an up-to-date view of the enterprise project portfolio, working with department leads to align roadmaps, manage interdependencies, and ensure strategic priorities are met.

Microsoft Technology Management

  • Oversee the setup, configuration, and maintenance of Microsoft 365 services, ensuring optimal performance, security, and availability.
  • Oversee and participate as the highest-level system Administrator in all technology platforms (Microsoft Azure, EMR, etc.)
  • Set up and maintain resources in Microsoft Azure, including virtual machines, storage, and networking components.

Business Process Support

  • Work closely with clinical, administrative, and compliance teams to align technology initiatives with organizational goals.
  • Troubleshoot complex technical problems related to Microsoft technologies and other business systems.
  • Assist in the administration of other business platforms such as ERP, Payroll, and EMR systems, ensuring their smooth operation and integration with other systems.
  • Review and manage IT vendor costs and approve monthly invoices.

Miscellaneous Responsibilities and Compliance

  • Embrace the "other duties as assigned" mentality to support the diverse needs of a small company environment.
  • Assists in developing or revising policies and procedures as requested.
  • Maintain comprehensive documentation of IT systems, configurations, and procedures for reference and knowledge sharing.

Supervisory responsibilities: This position does not involve any direct supervisory responsibilities.

Budgetary/Fiscal Responsibility: Responsible for using resources wisely to support cost-effective operations.

Compliance Responsibility: As an essential function, this position is responsible for complying with the Compliance Program as it applies to the individual job duties, the department, and the company. This position will exercise due diligence to prevent, detect, and report unlawful and/or unethical conduct by fellow co-workers, professional affiliates, and/or agents.

Policy and Procedure Interpretation and Development: Responsible for complying with all company and clinical policies and procedures. Participates in audit process as requested to ensure compliance with policies and procedures. Maintains confidentiality of privileged information and supports the employee’s and patient’s right to privacy.

Requires sitting and standing associated with an office environment as well as stooping and bending to file and maintain orderliness, mobility to complete errands. Must be able to function with frequent interruptions, accept change and able to prioritize activities when faced with competing demands.


Education and experience:

  • Bachelor's degree in Information Technology or related field
  • Knowledge of ERP, Payroll, and EMR systems administration is a plus.
  • At least one Microsoft certification in both Azure administration and Microsoft Security administration is preferred (i.e. AZ-104 or AZ-900; SC-200 or SC-400).

  • Strong verbal and written communication skills are essential for interacting with colleagues, clients, and stakeholders.
  • Flexibility to adjust to changing priorities, tasks, and environments.
  • Proven experience in administering Microsoft 365, Microsoft Defender, InTune, and Azure.
  • Familiarity with Microsoft Power platforms (PowerApps, Power Automate, Power BI) and their application in workflow solutions.
  • Strong troubleshooting skills and the ability to diagnose and resolve technical issues efficiently
  • Ability to work independently, manage multiple tasks, and adapt in a fast-paced, dynamic environment.
  • Strong problem-solving and analytical abilities.
