Job Title: Real Estate Office Manager
Location: Home-Based Office – Hampton, VA
Job Type: Full-Time
We are seeking a dedicated and detail-oriented
Office Manager to oversee the daily operations of our home-based real estate office in Hampton, VA. The ideal candidate will have strong accounting skills, be proficient with rental management software and bring experience in managing single-room occupancy (SRO) properties, tenants and guests. Website management and administrative expertise are also important for this role.
Key Responsibilities
Accounting & Financial Management
- Manage accounts payable and receivable with accuracy and timeliness.
- Reconcile bank accounts on a weekly basis.
- Post and track financial transactions using Buildium rental management software
Rental & Property Management
- Use Buildium to manage tenant records, lease agreements, rent collections, and maintenance requests.
- Handle tenant inquiries and concerns with professionalism and discretion.
- Support operations of Single Room Occupancy (SRO) accommodations, including tenant turnover, occupancy tracking, and compliance with housing codes.
Administrative Support
- Schedule appointments and manage calendars for field staff and vendors.
- Organize and maintain accurate financial, legal, and tenant records.
- Coordinate with contractors and service providers for property maintenance and improvements.
- Ensure compliance with internal policies and local housing regulations.
Website & Digital Presence
- Maintain and update the company website with current property listings and contact information.
- Assist with online form management, portal content, and digital communications.
- Collaborate on basic marketing and communications efforts, ensuring consistency and accuracy online.
Qualifications
- Proven experience in office management, preferably within the real estate or property management industry.
- Experience working with Single Room Occupancy (SRO) or similar multi-tenant housing environments such as hotels, ARBNB, and extended stays.
- Strong understanding of accounting principles, including accounts payable and receivable.
- Experience with website maintenance or content management systems (e.g., WordPress, Wix, Squarespace).
- Familiarity with legal processes such as unlawful detainers, WID, and other court filings and appearances is a strong plus.
- Prior experience in scheduling, tenant communication, collections, and vendor coordination.
- Excellent communication, time management, and organizational skills.
- Ability to manage multiple tasks independently and efficiently.
- Valid driver’s license and reliable transportation required.
Compensation: Based on experience
Schedule: Monday – Friday (some flexibility required)
Work Environment: Home-based office in Hampton, VA
