Responsibilities:
- Assist with daily accounting operations, including accounts payable and accounts receivable.
- Accurately process and record financial transactions in the firm’s accounting and practice-management systems.
- Assist with client billing, invoicing, payment processing, and collections reporting.
- Support monthly bank, credit card, operating-account, and client trust-account reconciliations.
- Maintain accurate, organized, and audit-ready financial records and supporting documentation.
- Assist with payroll processing, employee reimbursements, and expense tracking.
- Collaborate with attorneys, paralegals, and administrative staff to resolve billing and payment discrepancies.
- Support the preparation of financial statements, management reports, and internal financial dashboards.
- Assist with month-end and year-end accounting procedures.
- Use firm-approved AI tools and technology to streamline workflows, organize financial data, create reports, and identify potential discrepancies.
- Verify all AI-generated calculations and information before use.
- Protect confidential client, employee, payroll, banking, and firm information, and never enter confidential information into an unauthorized AI platform.
- Identify opportunities to improve the accuracy and efficiency of the firm’s accounting processes.
Requirements:
- Associate or bachelor’s degree in accounting, finance, business administration, or a related field preferred.
- Zero to two years of accounting, bookkeeping, or financial-administration experience; recent graduates are encouraged to apply.
- Basic understanding of general-ledger accounting, bookkeeping, and account-reconciliation principles.
- Proficiency in Microsoft Excel, including formulas, filters, tables, sorting, and data organization.
- Familiarity with QuickBooks or comparable accounting software.
- Comfortable using AI-powered productivity tools and learning new technology.
- Ability to learn accounting, payroll, banking, and legal practice-management platforms quickly.
- Strong attention to detail and a high level of accuracy.
- Excellent organizational, analytical, and time-management skills.
- Ability to identify discrepancies, conduct basic research, and follow issues through resolution.
- Ability to manage multiple assignments and meet recurring deadlines.
- Sound judgment and the ability to handle confidential financial information with discretion.
- Strong written and verbal communication skills.
- A dependable, collaborative, and team-oriented attitude.
